Job Description

SUMMARY:

Reporting to the Director of Auxiliary Services, the Auxiliary Services Manager drives excellence and oversees assigned functions and/or day-to-day operations within the University’s auxiliary service programs (Dining, ID Card, Bookstore, Conference Services, University/Special Events, and athletic third-party lease contracts). This position manages the planning and implementation of unit operations and contract compliance obligations, serves as a liaison to contracted third-party providers and works cooperatively with campus stakeholders in planning and delivering services. The Auxiliary Services Manager assists in the implementation of new and ongoing initiatives to support the development and expansion of the University’s auxiliary services programs and customer satisfaction across all sectors of the campus population. The Auxiliary Services Manager gathers, compiles and analyzes data, develops proposals and reports, on financial and operational performance, recommends opportunities to enhance revenue generation and service delivery, and plays a key role in supporting the unit’s strategic planning and overall success. In addition, this position serves as part of the team, providing AV/technical expertise and on-site support at campus events, and/or front-line customer service as needed, including during evenings, weekends and occasional holidays.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Oversee the performance of third-party contractors in delivering services, solving problems and operating in accordance with University requirements/expectations.
  • Administer and interpret applicable institutional, town, county, state and federal laws associated with areas of operation, and assists with monitoring compliance with all applicable policies, laws and regulations.
  • Engage in the strategic planning, management, and evaluation of auxiliary services by assisting in the development and recommendation of annual goals, changes in work processes and procedures, and planning and implementation of new initiatives in partnership with the contracted providers and campus stakeholders, to support increased customer engagement, customer satisfaction, and sales growth.
  • Develop, administer and monitor cost center budgets, revenues and expenses. Assists with financial components of assigned contracts including the monitoring of financial statements, accounts payable, accounts receivable processes, preparing weekly summaries and recording adjustments to ensure the integrity of each contract.
  • Collect and analyze data, prepares reports and studies upon request and for review by the Director and/or University administrators.
  • Establish and maintain effective communication and cooperative working relationships with University administration, faculty, staff, and Student-led organizations to improve services and provide cost effective solutions for student groups and University departments.
  • Ensure that committees, working groups and outreach meetings are regularly scheduled and provides follow-up coordination to ensure deliverables are provided as planned. Work closely with communications and marketing personnel and on-campus staff to ensure implementation of internal communication plans for auxiliary service operations.
  • Manage procurement activities, and provide support and assistance to contracted third parties as required.
  • Maintain inventory of university owned items in auxiliary operations and coordinates equipment maintenance services as needed.
  • Provide front line customer service in Auxiliary Service offices and on-site technical/AV services at Conference Services and University/Special Events as needed, including during events, weekends, and occasional holidays.
  • Perform other related duties as assigned.

QUALIFICATIONS:

REQUIRED: 

  • Bachelor’s degree from an accredited college or university.
  • Minimum three years of work experience in food service, hospitality management, event services, information systems, finance, data analysis, project management, communications or related field.
  • Availability for work on evenings, weekends and occasional holidays.

PREFERRED:

  • A Master’s degree in hospitality management, culinary arts, event services, information systems, finance, data analysis, project management, communications or other field related to the position.
  • Experience in auxiliary or event services within an institution of higher education, preferably in a large public university setting university.
