The Senior Program Administrator - in a three-year term role - supports the academic and administrative operations within the CAS Dean’s Office. Specifically, they provide executive support to the Chief of Staff and Vice Deans for Faculty Affairs on a variety of sensitive matters.

Duties include but are not limited to scheduling meetings, coordinating activities and processes, and compiling data on matters such as faculty rank and tenure, promotions, and recruitment. They maintain currency regarding university, campus and school policies and procedures to ensure compliance at all levels and contributes to continuous process improvement efforts.

As well, they provide logistical support for the College’s George F. Bakers Scholars Program, a 45-year-old signature, prestigious and distinctive program for CAS students, whereby students are relieved of loans and work study to perform valuable community service and prepared for careers in business and community-service-based entrepreneurship. The Senior Program Administrator serves as the initial point of contact for the program, manages the scholar selection process and student/alumni databases, and oversees the financial operations for the program.

They are necessarily highly organized - and able to manage shifting priorities, communicate effectively, and meet deadlines. As well, they must also work well under pressure and possess the ability to manage supporting multiple individuals with varying work styles.

Work Interactions and Work Mode

Reporting to the CAS Chief of Staff, the Senior Program Administrator interacts with CAS deans, faculty, staff and students, University offices (e.g., Advancement, Provost’s Office, Financial Affairs), and with external service providers or stakeholders, such as donors.

They work frequently and closely with the Dean’s Office designee for the Bakers Scholars Program, as well as with students, trustees and alumni of the program; and translate the program’s events needs to the Dean’s Office events lead to execute. In doing so, they provide consistent professional management of the Baker Scholars program, with important logistical responsibilities for the program’s success. 

This position has been designated as On-Campus. Requirements and Qualifications

  • High School diploma or certified equivalency – preference for a Bachelor’s degree
  • At least 5 years of experience in a role supporting academic and/or administrative functions within a university
  • Demonstrated experience providing executive level support and managing day-to-day financial operations - e.g., reimbursements, purchasing, reconciliations
  • Superior organizational abilities, attention to detail, and ability to multi-task and prioritize
  • Professional, service-oriented demeanor, and discerning sense of judgment, taste, and tact
  • Excellent interpersonal skills in coordination and communication with constituents, including executive-level administrators, faculty, students, and staff
  • Commitment to coordinating meetings and processes in an organized and professional manner
  • Collaborative work style and desire to join a cohesive team 
  • A growth mind-set and the ability to assess and evaluate procedures, events, or meetings and to recommend improvements and changes
  • Experience using scheduling, database, word processing, and office applications – e.g., including Google Suite, Microsoft, Zoom, and Box
  • Availability as needed to travel and evening/weekend hours
