Job Description

  • As a management assistant, you will be responsible for the professional and independent management of the management office, as well as providing support with mail processing and prioritizing incoming requests.
  • In your daily work you will schedule and coordinate international and cross-functional meetings and will support your manager to facilitate the meetings and the follow up. 
  • You are responsible to create and maintain the organizational structure charts regionally and globally and you will be able to share it with the new colleagues in their onboarding. 
  • You will organize meetings and workshops and prepare them accordingly. Your tasks will include travel management and travel expense accounting for the department.
  • You will also create presentations, manage the document filing system and support the use of other administrative tools.
  • You will also take care of general office organization and the ordering of office materials and support employees and managers in these areas in coordination with facility management.
  • You will also be responsible for managing the department's intranet presence on the Intranet and the audit-related documentation of risk assessments and similar.
  • Another task is the organization and support of employee events, where you take care of the media as well as any questions from managers and employees. 
  • Last but not least, you will support the onboarding and offboarding processes and be responsible for both IT and Information Security Process.

Qualifications

  • Scholarship: Business Administration and Management, Business Studies, Project Management or similar
  • Extensive experience as executive assistant involving administrative tasks
  • Advanced English level, Arabic is a plus
  • IT and Microsoft Office skills (Power Point, Excel, etc.)
  • Openness to cooperate with multiple tasks in order to achieve objectives
  • Strong communication skills
  • Good time management and activity planning 
  • Great customer service: valuing customers' time, having a pleasant attitude, and providing knowledgeable support
  • Teamplayer, successful communication to build trust and respect, and create conditions for sharing creative ideas and problem solving
