Position Description

The Program Coordinator for the Study of the US Institute for Scholars will assist the Academic Director/PI and the Associate Director in the following areas and tasks:

PROGRAM COORDINATION AND EVENT PLANNING

Working with University Events and Caterer to prepare for on-campus academic seminars during 4-week academic residency, two banquets (welcome and farewell), and other program events.

Coordinating off-campus cultural events in Seattle during 4-week residency (museum/theater tickets, van and public transportation).

Running the administrative, residential, and study-tour orientations.

Administering the evaluation surveys and data collection.

STUDY TOUR PREPARATIONS

Coordination and logistics of the 2-week Study Tour (working with the Executive Coordinator for the Special Assistant to the Provost while on the road to ensure smooth operation of tour with respect to hotel reservations, museum and event tickets, public transportation and charter bus trips, etc.).

PARTICIPANTS’ RESIDENCY AT Seattle University

Working with Global Engagement Office and DRSO on J Visa administration, including pre-arrival info, orientation, monitoring, maintenance and security of forms, record-keeping, and reporting.

Working with Associate Director, A&S Dean’s Office, Faculty Services, CES, and Lemieux Library on visiting professor status and privileges for institute participants.

Assistance with the maintenance of SUSI website, academic program Canvas site, social media and alumni networks, and other forms of virtual intellectual/cultural exchange

Working closely with the Executive Coordinator for the Special Assistant to the Provost to address participants’ non-academic concerns during the academic residency of the Institute at Seattle University.

BUDGET AND FINANCES

Working with the Director, Associate Director, and the Executive Coordinator for the Special Assistant to the Provost with distribution of per-diem allowance cash advance for participants’ Seattle residency and two-week study tour.

Helping the Director with SU procurement processes for institute-related purchases.

Working with the Executive Coordinator for the Special Assistant to the Provost and the Controller’s Office to track and record SUSI transactions, and to reconcile SUSI budget sheet with General Ledger.

FOLLOW-ON ACTIVITIES

Assisting the Director in minimal follow-on activities and/or reporting for this 12-month cooperative agreement.

OTHER

Other duties as assigned

Qualifications

Bachelor's degree plus two or more years of progressively responsible administrative office support experience OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.

Knowledge of procedures such as purchasing, budgeting and record keeping, the ability to prepare, edit and produce grammatically correct reports and correspondence and the ability to orally communicate effectively with others on the telephone and in person.

Must possess excellent customer service skills as well as organizational and time-management skills.

Must possess strong interpersonal and communication skills.

Compensation at a Glance:

Salary Range: $27.00/hour

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.
