The Legal Assistant provides comprehensive administrative support to attorneys and the CooperSurgical Legal Team, facilitating the efficient operation of the department. This role involves drafting and revising documents, managing schedules, helping create presentations, booking travel, and ensuring seamless communication between the legal team and our internal clients. Position can be based in Rochester, NY or Trumbull, CT.

Essential Functions & Accountabilities:

  • Document Preparation: Draft, format, and proofread legal documents, including contracts and correspondence.
  • Matter Management: Assist in intake and managing legal matters, tracking deadlines, docketing and helping generate department metrics.
  • Client Interaction: Act as a liaison between the attorneys, paralegals and internal clients, maintaining professional communication, scheduling meetings, and providing updates on matter progress.
  • Administrative Support: Perform general administrative duties such as scheduling meetings, managing email correspondence, and maintaining filing systems.
  • Billing and Reporting: Assist with billing processes, expense tracking, and assistance with the preparation of budget materials.

Travel: As necessary, about 5%.

Knowledge, Skills and Abilities:

  • Excellent communication and interpersonal skills with the ability to prompt customer service to a wide range of internal clients. 
  • Detail-oriented with the ability to manage multiple priorities and track extensive details.
  • Multitasking skills with the ability to juggle deadlines for multiple team members. 
  • Excellent organizational skills, attention to detail, and accuracy. 
  • Ability to prioritize and handle multiple responsibilities with minimal direction.
  • Capable of working both independently and in a team environment. 
  • Experience with electronic document management systems. Heavy use of and experience using Excel, Word, Power Point.
  • Requires a positive attitude, willingness to learn, and proactive problem-solving approach to challenging situations. 
  • Must have a firm understanding of, and strict adherence to, confidentiality and privilege considerations, and a mature level of discretion. 
  • Commitment to professionalism and collegiality. 

Work Environment:

  • Hybrid working arrangement. 3-4 days per week in office.
  • Rochester, NY or
  • Trumbull, CT
  • Normal home-office environment or office environment.
  • Prolonged sitting in front of and typing at a computer.

Experience:

  • At least 5 years’ experience in a Legal Assistant or Paralegal role. 
  • Experience with managing substantial department matters preferred. 
  • Corporate in-house experience preferred.

Education:

  • Associate's degree in Legal Studies, Paralegal Studies, or a related field. A Bachelor's degree is preferred.
  • Paralegal certification from an accredited program is highly desirable.
  • Previous experience as a legal assistant or paralegal, preferably in a corporate legal department.
