Description:
Northwest Arts Center Gallery Assistants provide administrative and physical support for the Northwest Arts Center while working on a variety of tasks, such as installing of exhibitions, working with the Minot State University collections, visitor services and assisting with the daily oversight of the galleries. Gallery Assistants ensure proper maintenance of gallery space and maintain a warm, welcoming atmosphere in the NAC.
Position Description & Details
Responsibilities - Duties may include but are not limited to:
- Administrative, Visitor & Member Services support
- Administrative and clerical duties: answer phone and take messages, write and send emails as appropriate, update mailing lists, assist with contracts, financials, and book-keeping, assist with special projects, grants and fundraising, attendance tracking.
- Assist with Visitor Services & public programs: open and close gallery as appropriate, staff the reception desk, greet visitors, and answer curatorial questions, monitor, and ensure artwork safety during public hours, assist during public events and receptions.
- Assist with Member Services: membership acquisition and retention, member activities, maintain membership database, newsletters, and scheduled mailings.
- Exhibition & Collections programming and logistics
- Assist in exhibition programming with the internal gallery calendar and management of digital exhibition archives, exhibition planning and development, reception and event planning and execution, processing of juried exhibition entries and exhibition evaluations.
- Assist with installation and deinstallation of exhibitions through art handling, hanging and presenting artwork, un-packing and packing of artwork, lighting artwork, installing signage, labels and didactics, gallery maintenance and painting.
- Assist with registration and collections duties: release and receipt of shipments, condition reports, collections data and images management, loan agreements and the campus loan program, specialized collections tasks and duties.
- Facilities and Janitorial
- Assist with implementation of the NAC housekeeping schedule: clean and maintain the workroom, galleries, collections storage and restrooms.
- Assist with implementation of the NAC environmental monitoring and pest management policies.
- Conduct inventories of equipment, supplies, gallery furniture, lighting components, etc.
Required Competencies
Qualifications
- Applicants in Art, Art Ed, Arts Administration or Art History degree programs preferred.
- An interest in museum/galleries and sensitivity to art as a form of expression.
- Willingness to learn and adhere to gallery policy, practices, and workflows.
- Be energetic, committed, and reliable with a self-starting, ‘can-do’ attitude, and a strong work initiative.
- Ability to work well and quickly under pressure both individually and as a part of a team.
- Excellent interpersonal and communication skills (both written and verbal).
- Excellent organizational and project management skills to consistently meet deadlines.
- Knowledge of Apple Software and Microsoft Office, incl. Word, Excel. Fluency in Adobe Creative Cloud applications beneficial, but not required. Willingness to learn and use new software applications and processes.
- Ability to lift up to 40 pounds, climb ladders.
- Ability to relate to and assist all members of our diverse campus community.
- Applicants must be currently enrolled at Minot State University in a certificate/degree-seeking program and, if hired, be enrolled in six credits or more each semester that they are employed.
- Applicants must have at least a cumulative 2.50 GPA and, if hired, must maintain at least a cumulative 2.50 GPA each semester they are employed.
Minimum Requirements
This is a Work Study Only Position. Prospective candidates must be eligible for Work Study through Financial Aid.
- Position commitment August 1, 2022 – May 5, 2023, at 10-20 hours per week.
- Fall orientation and training will be the week of Monday, August 1, 2022. Spring orientation and training will be the week of January 2, 2023. If starting mid-semester, training will be conducted after date of hire.
- Staff will not work during Thanksgiving Break, Spring Break, and one week during Winter Break. There will be weeknight and weekend commitments.

The Northwest Arts Center is a non-profit arts center operating on the campus of Minot State University. The Center houses the Walter Piehl Gallery, a public reception area, and climate-controlled collections storage for Minot State University’s Permanent Art Collection and Native American Collections. Over the years the Center has enriched the artistic life of northwest North Dakota with year-round art exhibitions, a performing arts series, a public lecture series, and numerous workshops and artists-in-residence activities. Programming of the Northwest Arts Center is supported by entry fees from its juried competitions, grants, student activity fees, memberships, and private donations. All exhibits are free and open to the public.
