What is the Role?

A Family and Operations Coordinator (OC) is in their element when interacting with families on a daily basis. They’re personable and thrive on building relationships, and organization is their middle name. As an OC, you’re the first point of contact for all students, families, and visitors to Coney Island Prep, and will play a key role in scholar and family engagement, particularly as it relates to school attendance, enrollment, and registration. You catalog, create systems and lists, enter data, collect documents and ensure compliance around student data. An OC’s home base is the main office and you take immense pride in how welcoming and aesthetically pleasing it feels for our guests. You’re the first to greet guests with a smile and offer them a seat. 

The OC will be hired by and report to the Director of Operations. 

What You’ll Be Asked To Do

Scholar and Family Communication

  • Create a warm, welcoming main office environment for families by building relationships and providing top notch customer service
  • Seamlessly and professionally handle all incoming and outgoing communication between scholars, families and staff (including mailings, letters home, phone calls, and emails)
  • Serve as the primary point of contact for the school on all phone communication including, but not limited to, answering the phones and taking messages
  • Generate content and prepare weekly family newsletter
  • Execute daily attendance procedures to ensure accuracy of data and clear, daily communication with families
  • Work with the Director of Operations to maximize daily attendance and minimize tardies
  • Maintain the main office workspace for aesthetics and function, including the inventorying and organization of supplies/materials, scholar concerns and visitor systems
  • Collaborate with school staff to ensure a comprehensive list exists of scholars staying after school, and communicate efficiently with families regarding their scholar 
  • Track completion of all parent and student-facing surveys, RSVPs, permission slips, and other relevant documentation 

Enrollment and Student Data

  • Maintain and update student files, family contact information, health records, medication forms, parental permission and all other documentation to ensure compliance with state mandates
  • Engage in relevant data entry to ensure student information systems are accurate and updated with current student data
  • Ensure all class lists and student information systems, specifically PowerSchool, SchoolRunner and ATS are accurate and updated with current student data
  • Coordinate summer and mid-year enrollment by managing the school’s waitlist and enrolling new scholars as soon as seats become available 
  • Maintain and consistently update Enrollment and Registration trackers 

Operational Support

  • Contribute to creating a welcome main office environment for families by providing top notch customer service
  • Respond urgently and in-the-moment to support academic programming and student needs 
  • Help oversee and execute whole-school systems including arrival, lunch, dismissal, and transportation (specific duties will vary by campus)
  • Assist teammates in planning and executing all student and family events, including family conferences, field trips, high-stakes testing etc.
  • Act as first point of contact for all scholar health needs
  • Manage school calendars
  • Flexibility to work evenings and weekends as needed
  • Additional support at the request of the Director of Operations

  • Ability to take on physical tasks such as moving boxes, packages, and rearranging furniture 
  • Belief that families are essential to scholars’ academic success; practices actively leveraging families’ perspectives in day-to-day work
  • Some prior experience required -- either as a receptionist, administrative or retail employee, office manager or any school-based experience
  • Moderate to strong experience with Excel
  • Associates degree required, Bachelor’s degree preferred
  • Spanish, Cantonese, or Russian proficiency a bonus

Coney Island Prep is a college preparatory public charter school in Brooklyn, New York. Merging growth, performance, and commitment, the Coney Island Prep community takes its responsibility to prepare scholars for the college and career of their choice very seriously, but not ourselves. Coney Island Prep currently serves over 1,300 scholars across its four schools, including:

  • 312 scholars in kindergarten – second grade at the lower elementary school
  • 336 scholars in third – fifth grade at the upper elementary school
  • 348 scholars in sixth – eighth grades at the middle school
  • 349 scholars in ninth-twelfth grade at the high school

Benefits and Compensation

  • Employees at Coney Island Prep are provided with salaries that are highly competitive, set through a lens of equity, and based on an individual’s skills and experiences relevant to the role. The salary range for this role is $65,000 - 69,000.
  • As a regular full time employee of Coney Island Prep, you will be eligible for benefits that include medical, dental, vision, and life insurance as well as a 403(b) retirement benefit package with match and Paid Family Leave.
  • Staff are provided with a MacBook Air and access to all the necessary technology and resources needed to succeed in their role.
