Assistant Director of Admissions Technology

Knox College invites applications for the full-time, 12-month, benefited position of Assistant Director of Admissions Technology. The Assistant Director of Admissions Technology will serve as a co-administrator of Knox College’s Slate CRM instance, which is used in the recruitment and admission of prospective students. In this capacity, this position will also interface with additional campus systems and engage with the respective departments in sharing data between these systems. The Assistant Director will serve as a liaison to third-party vendors and campus-wide constituents to share, analyze, and report on relevant admissions data. Finally, the Assistant Director will maintain data access to, troubleshoot issues with, and provide ongoing training for, faculty, staff, and student employees. This position reports directly to the Director of Admissions Operations and will be a valuable member of the Admissions Operations team within the Office of Admissions.

Essential Functions: 

The Assistant Director will act as the data steward for admission data, ensuring the quality and security of data:

  1. Collects, maintains, and audits data fields, prompts, exports, and filters for multiple datasets (i.e. prospects, organization, organization contacts, etc.).
  2. Defines and maps source formats and uploads data into Slate CRM.
  3. Creates and runs daily, weekly, quarterly, and annual audits.

The Assistant Director will collaborate to identify and satisfy data and reporting needs of the Admissions Office, along with other collaborative offices on campus:

  1. Queries data and creates reports to help facilitate office-wide recruitment and college-wide retention goals often in collaboration with or at the request of colleagues.
  2. Maintains a query template library for counselors.
  3. Promptly responds to staff requests for troubleshooting and data clean-up.
  4. Creates and maintains forms and form templates used for data collection and event registrations.
  5. Builds and maintains forms and portals to share data across campus and with external constituents.
  6. Maintains and enhances all application sources for admissions. 
  7. Builds and maintains application review forms and works with the director to ensure annual updates to the application review process in Slate.

Provides Slate training for new employees and ongoing training and updates for all staff and manages all staff user permissions.

Knowledge, Skills, and Abilities:

  • Ability to access, manage, and analyze data using different databases and file formats
  • Demonstrated experience with a CRM – Slate preferred
  • Demonstrated analytical thinking and excellent customer service and systems aptitude
  • A high level of organization, attention to detail, and excellent time management skills
  • Ability to work successfully as part of a team in a fast-paced office environment
  • Ability to work independently and manage multiple and changing priorities
  • Experience and knowledge of SQL is preferred
  • Patience and a desire to learn

Minimum Education Required:

Bachelor’s Degree from a four-year college or university, preferably in a technology-related field

Minimum Experience Required:

At least two years of related experience and/or training in the use of information systems, database tools, and technologies, or equivalent combination of education and experience. Prior experience with Slate or other college admission CRMs is extremely helpful.

Minimum Licenses/Certifications Required: 

Driver’s License Required

Additional Qualifications: (Preferred qualifications) 

  • Experience and familiarity with data analysis, statistical methods, and enterprise systems
  • Expert knowledge of SQL and relational databases
  • Working knowledge of HTML, CSS, JavaScript, and XSLT or demonstrated ability to learn.
  • Knowledge of admission functions, policies, and procedures
