Job Description Summary

As a Business Operations Specialist, you will manage various stages of our installed base lifecycle from addition to end of life. You will do this by entering customer quotations/warranties/contracts in the Service ERP, ensuring timely and accurate billing of customers for contract and non-contract services and managing various communications with customers. You will also assist in stabilization of a newly deployed CRM, Service Max, working on data clean up and Channel Partner migration through collaboration with multiple stakeholders.

Job Description

Essential responsibilities:

  • Perform customer contract management in the Service ERP (contract addition, modification & deletion)
  • Bill customers for contract and non-contract services, prepare invoice packages and resolve any disputes raised by customers relating to invoices issued.
  • Ensure data quality in the various Service ERPs/Tools (Installed Base, Contracts, Warranty)
  • Support cash collection through timely resolution of customer invoicing disputes in coordination with Service Sales and Field Service teams.
  • Play an active role in transition of distributors to the Channel Partner Service Max platform, working on data preparation, clean-up activities and migration through collaboration with multiple stakeholders.
  • Support Finance team during month, quarter and year-end financial closing. 
  • Ensure prompt customer support for all contract and non-contract related questions.
  • Drive various projects and process improvement initiatives.
  • Complete all planned Quality & Compliance training within the defined deadlines.
  • Follow Quality Assurance processes including proper archiving of contract and non-contract documentation (proposals, signed contracts, service reports, invoices)
  • Follow the GEHC Quality Policy and procedures, maintain effective quality systems compliant with applicable norms. Promptly escalate any quality or integrity issue.
  • Ensure compliance to quality and regulatory requirements.

Requirements /Qualifications:

  • Bachelor’s degree in business or related field of study
  • Minimum 3 years’ experience
  • Strong verbal and written communication skills in English and Turkish
  • Proficiency in MS Office
  • Ability to prioritize and meet deadlines
  • Excellent analytical skills with great attention to detail
  • Ability to communicate effectively with internal and external teams/ customers at all levels
  • Ability to focus on process improvements to eliminate non-value-added activities
