Responsibilities

Specific responsibilities will include but not be limited to the following: 

Accounts Payable:

  • Receiving and processing invoices. Matching invoices to quotes/budgets.
  • Reviewing and reconciling invoice discrepancies.
  • Assistance with preparation and production of Cost Share Agreement Invoices.
  • Maintain the cash records / bank statements / Invoice tracking files.
  • Scheduling payment runs and preparing payments using online banking payment platform.
  • Ensuring vendors are paid in a timely and efficient manner.
  • Support with any ad-hoc tasks as required by the finance team.
  • Point of contact with the bank(s) for the opening/closing of bank accounts of holding companies and for other banking matters.
  • Continuing to improve AP processes.

Bookkeeping:

  • Liaising with Administrators, auditors, banks and dealing with their queries
  • Review of general bookkeeping and reconciliation of the accounts.
  • Administration and first review of financial statements.
  • Ad hoc assistance to the CoSec team (result allocation, amounts to be added in agreements).
  • Assist in preparation of the quarterly board packs.
  • Coordinate with the Depositary for providing the relevant support in relation to the performance of the latter’s regulatory mandate.
  • Continuing to improve accounting processes.

Tax Compliance:

  • Coordination & basic review of the Corporate Income Tax returns of the holding companies.
  • Coordination & review of the Value Added Tax returns of the holding companies.
  • Coordination of the Fatca/CRS queries.
  • Assistance with the US tax requests such as FBAR.
  • Preparation and filing of dividend declarations forms.
  • Review of the tax assessment / tax statement and organization of the payment of the taxes dues & update of the Tax tracker.

Qualifications:

  • A bachelor’s degree or equivalent in accounting, finance or economics is required.
  • 0 to 3 years’ working experience in a similar position preferably in Luxembourg in a fiduciary or trust environment.
  • Ideally the candidate would have already gained some experience in tax compliance matters (VAT and CIT) and have some knowledge of Lux GAAP.
  • Accuracy and a high degree of attention to detail is essential.
  • Competent in Microsoft Office suite of products, especially proficiency in Excel, and must demonstrate a professional attitude and the ability to communicate effectively at all levels.
  • The office language is English and strong English skills are required and the ability to speak and read French and/or German being a plus.
