Associate Administrator, Supply Chain - HS Supply Chain Admin - Full Time 8 Hour Days (Exempt) (Non-Union)

The Associate Administrator of Supply Chain provides direction to overall business operations to the Keck Medical Center and Norris Cancer Hospitals. The Associate Administrator directs and leads the daily supply chain operations for the hospitals, through results oriented objectives, which meet or exceed the requirements of the internal and external customers. This position is accountable for the overall effective supply operations of Materials Management within the hospitals. The Associate Administrator will develop and oversee all operational & efficiency projects, process & operational improvements for the community hospitals and central warehouse as well as day to day business operations for Shipping & Receiving, Distribution, OR Materials Management, and Mail Services for these entities where appropriate. The Associate Administrator will also provide guidance to areas of inventory control throughout the organization that have indirect dependency upon the process flow of Materials Management. The Associate Administrator of Supply Chain will work collaboratively with the Executive Administrator of Supply Chain, the Associate Administrator of Sourcing and Contracting, the Director of Supply Chain Data Analytics, Finance Leadership, and the Clinical leaders in the Nursing, Surgical and Ancillary departments throughout the organization to develop and enhance an efficient and effective process flow for Supply Chain throughout the organization.

Essential Duties:

  • Strategic Planning: Develop and implement strategic plans for materials management in alignment with the hospital's overall objectives. Collaborate with key stakeholders to understand departmental needs and forecast future requirements.
  • Procurement and Vendor Management: Build and maintain strong relationships with suppliers and vendors. In collaboration with Associate Administrator of Sourcing & Contracting and Director of Materials Management at each Community Hospital, coordinate and manage the negotiation of agreements to optimize procurement costs for entity specific contracts within approved thresholds.
  • Inventory Control: Implement and maintain efficient inventory management practices to prevent stockouts and minimize excess inventory. Utilize technology and data analysis to optimize inventory levels and improve forecasting accuracy in collaboration with Director of Supply Chain Data Analytics.
  • Logistics and Distribution: Coordinate the distribution of materials to various departments within the hospital. Coordination of Stocking and inventory management for all central stocking areas within the hospital including nursing floors, ancillary departments, Clinic locations on the Keck Medicine Campus and Perioperative Service locations. Streamline logistics processes to enhance efficiency and reduce lead times.
  • Compliance and Quality Assurance: Ensure compliance with regulatory requirements related to materials management. Implement quality assurance measures to guarantee the integrity and safety of medical supplies.
  • Budget Management: Develop and manage the materials management budget, monitoring expenses and identifying cost-saving opportunities. Provide regular financial reports and analysis to senior leadership.
  • Team Leadership: Lead, mentor, and motivate a team of materials management professionals. Foster a collaborative and high-performance work environment.
  • Cross-Functional Collaboration: Collaborate with Corporate Supply Chain teams, including procurement, sourcing and contracting, as well as Director’s of each Supply Chain team and the finance division leaders to ensure alignment and effective communication across departments. Participate in cross-functional meetings to address supply chain-related challenges and opportunities.

Required Qualifications:

  • Req Bachelor's degree
  • Req 5-7 years Experience in supply chain, material management, or relevant field
  • Req 5 years Progressive leadership experience
  • Req Ability to demonstrate effectiveness in all facets of Material Management, which include, but is not limited to, operational function of all systems, inventory control, demonstrated knowledge and experience in budget analysis, accurate patient charge systems, contract compliance, and system improvements.
  • Req Excellent written and verbal communication, and presentation skills
  • Req Strong analytic and problem-solving skills
  • Req Proficient computer skills required such as knowledge of MS Word, Excel, PowerPoint, and Outlook, and applicable software used in supply chain/ material management
  • Req Ability to train, cross train, direct, and mentor others.
  • Req Ability to organize and manage multiple project demands simultaneously.
  • Req Ability to work under pressure and to effectively meet internal and external deadlines.
  • Req Recognized ability to work as an effective leader and team member in complex structures.
  • Req Demonstrated flexibility in regards to duties and assignments.
  • Req Physical ability to perform the duties of the position

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The annual base salary range for this position is $158,080.00 - $260,832.00.
