Who are We:

The American Association of Physicists in Medicine (AAPM) is a scientific and professional organization, founded in 1958, composed of more than 10,000 scientists whose clinical practice is dedicated to ensuring accuracy, safety, and quality in the use of radiation in medical procedures such as medical imaging and radiation therapy.

We are generally known as medical physicists and are uniquely positioned across medical specialties due to our responsibility to connect the physician to the patient through the use of radiation-producing technology in both diagnosing and treating people. The responsibility of the medical physicist is to ensure that the radiation prescribed in imaging and radiation therapy is delivered accurately and safely.

Summary:

The Exhibit and Sponsorship Manager will lead the full cycle of prospecting, sales, planning, and executing exhibiting sponsorship opportunities for in-person and virtual programs, including but not limited to the AAPM Annual Meeting & Exhibition and AAPM Spring Clinical Meeting, while also providing support to other exhibit/vendor-related needs of the Association. Your strategic insight will be key to improving sales plans, maximizing opportunities, and collaborating with relevant member groups including the Annual Meeting Subcommittee, Spring Clinical Subcommittee, and Technical Exhibits Subcommittee to amplify attendance and exhibits. By managing the complete exhibit process, you will lead resources development including exhibit space floor plans, rules and policies, service kits, and sponsorship brochures. You will provide in-person/on-site support at events produced by AAPM and represent AAPM as an attendee or representative at other physics-related conferences and meetings. You will be joining a team of energized, charismatic, and passionate individuals who thrive in a collaborative environment.

AAPM publishes two scholarly journals Medical Physics, and the Journal of Applied Clinical Medical Physics (JACMP), as well as an AAPM Report Series. AAPM sponsors three scientific meetings each year, a spring clinical meeting, a main summer annual meeting, and a fall scientific meeting (joint with the Radiological Society of North America).

AAPM is headquartered in Alexandria, VA, and is offering a flexible hybrid working schedule; there is an opportunity to work remotely in combination with working on-site.

WHAT YOU’LL DO:

  • Develop and maintain a comprehensive understanding of all exhibiting and sponsorship offerings, including pricing, benefits, and opportunities for company/attendee engagement.
  • Set a timeline and manage all aspects of exhibitor and sponsor-related sales and service activities within the Annual Meeting, Spring Clinical Meeting, Summer School, and any other new meeting.
  • Establish and cultivate new relationships to grow the sales pipeline and exceed revenue goals. Identify new business opportunities, including partnerships and collaborations, to expand market presence.
  • Collaborate with the Director of Meetings and Exhibits and Technical Exhibits Subcommittee on developing strategies to increase booth and sponsorship sales.
  • Collaborate with the Director of Meetings and Exhibits and Technical Exhibits Subcommittee on increasing attendee traffic and participation with exhibitors.
  • Support Technical Exhibits Subcommittee with the development and execution of vendor-driven presentations and Product Showcases.
  • Create and deploy exhibit and sponsorship collateral including the Exhibitor Prospectus, Exhibit Space Floorplan, Service Kit, Sponsorship Brochure, Agreements/Contracts, and Exhibit Buyers Guide.
  • Develop schedule of targeted marketing emails and social media plans.
  • Maintain exhibitor database and overall spending with the association that supports an exhibit sales point system.
  • Process and issue invoices to exhibitors for booth contracts, sponsorships, and other billable items.
  • Support the exhibitor and sponsor registration and housing processes for all Association meetings including conflict resolution, responses to general inquiries, confirmation and receipt requests, and cancelation and refund.
  • Handles logistical arrangements for Association participation at physics-related meetings. Represents AAPM as an exhibitor at physics-related meetings.
  • Provides staff support to the Technical Exhibits Subcommittee, including oversight of booth formation review and approval process.
  • Support staff for Meeting Coordination Committee, Annual Meeting Subcommittee, Corporate Relations Committee, and Spring Clinical Meeting Subcommittee meetings and activities as assigned.
  • Responsible for developing and presenting sales reports before, during, and post meetings.
  • Stay abreast of industry trends, best practices, and emerging technologies to continually enhance the exhibits and sales strategy.

WHAT YOU’LL BRING::

  • Bachelor’s degree or equivalent work experience required.
  • Minimum of four years of experience in exhibit sales or operations. Experience in a non-profit scientific, medical, or professional society environment is preferred.
  • Ability to manage multiple projects, identify mission-critical processes, and adapt to shifting job requirements with minimal supervision.
  • Excellent organizational, verbal, written, and interpersonal skills with demonstrated effectiveness working in a team environment.
  • High-level proficiency in a MAC environment including Microsoft Office.
  • Database experience is required.
  • EXPOCAD experience desired.
  • Ability to travel both internationally and domestically as needed for the Association.
