SUMMARY: The Pulliam Center for International Education is the hub of international activity on campus. The Center coordinates the John Belk International Program (study abroad), international student services, and other international initiatives. Queens has a deep, historical commitment to international education and through the John Belk International Program provides funding for all full-time undergraduate students to have an international experience before graduation.

This position works closely with faculty, campus partners, and external service providers to coordinate and execute short-term study abroad programs. Provides advisory, referral, and information services to students, parents, and others interested in study abroad opportunities. Provides, organizes, and implements materials and forums regarding overseas study opportunities and sources of financial aid; assists students in complying with enrollment, registration, and travel preparation requirements.

The Faculty-Led Study Abroad Coordinator is part of a small, talented, high-energy team of international educators that promote the comprehensive internationalization of the University. The position reports directly to the Assistant Director for Global Experiences.

This position is exempt from provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay or compensatory time off for additional hours worked. This position is not eligible for visa sponsorship.

Essential Duties and Responsibilities include:

  • Advise students on study abroad and other international opportunities.
  • Guide and advise students through the pre-departure process including applications, financial aid options, form and document collection, and pre-departure orientation.
  • Manage all aspects of faculty-led study abroad programs working closely with faculty, the Assistant Director for Global Experiences, Executive Director of International Education, program partners, and service vendors.
  • Lead in soliciting and evaluating proposals and bids from program providers and service vendors. Make recommendations regarding the use of vendors.
  • Oversee administrative aspects of programs including managing payments, tracking enrollment documents, travel itineraries, correspondence, course enrollment, budget, etc.
  • Manage student applications, enrollment forms, data and communications in online application management system (Via TRM)
  • Collect and review data regarding study abroad participation and event attendance; make recommendations to continuously improve program offerings and participation.
  • Independently create, plan and execute promotional activities for study abroad programs such as in-person presentations, classroom visits, online and social media promotion.
  • Prepare students and program leaders for travel by preparing pre-departure materials and delivering pre-departure orientation presentations.
  • Coordinate the study abroad scholarship application and selection process.
  • Assist PCIE team with development and execution of programming including International Education Week, JBIP Reveal Party, and international student orientation.
  • Qualified individuals may also serve as Designated School Officials (DSO) to provide additional support for international students during peak times.
  • Position occasionally requires night and weekend work, overnight and/or international travel.

Non-Essential Duties:

  • Other duties and special projects may be assigned to meet university needs.

Qualifications

Experience, Knowledge and Skills Required:

  • Strong organization, record keeping, follow-up and follow-through skills with proven ability to deliver projects on-time with accuracy.
  • Strong computer skills, including Microsoft Office and ability to quickly learn and use new software programs.
  • Skilled at working individually and in team settings and work effectively with individuals from diverse backgrounds.
  • Strong interpersonal, verbal and communication skills, including ability to convey complex information in an easy-to-understand manner.
  • High level of initiative and the ability work independently and as a member of a high-performing team.
  • Ability to safeguard sensitive and confidential information.
  • Bachelor’s degree from an accredited institution or equivalent combination of training and/or experience.

Experience, Knowledge and Skills Preferred:

  • Experience living, studying, or traveling abroad.
  • Experience using a major study abroad application management software, particularly Via TRM.
  • Basic knowledge of social media platforms
  • Familiarity with Canva for designing promotional materials and/or social media post scheduling.
  • Familiarity with a foreign language and foreign travel visas.
  • Familiarity with risk management considerations for international travel.
