Our office in Moscow, Russia is hiring a new employee who will be the Contracts Administrator, this is an extremely key position within our service function.

Key Responsibilities: 

  • Representing the interests of an organization in the field of state procurement, as well as procurement of certain types of legal entities under 44-Federal Law and 223-Federal Law as a Supplier.
  • Analysis and participation in the preparation of procurement documentation (electronic auctions, open electronic tenders, electronic requests for quotations)
  • Preparation of the necessary documents for applications for procurement procedures, sending requests for clarifications, organization of payments for participation and execution of contracts in procurement procedures
  • Creating the quotes and commercial offers, analysis and drafting of contracts, appendices, specifications, closure documents. Monitoring the fulfillment of contractual obligations
  • Document flow with government and commercial customers at all stages of the transaction. Interaction and communication with the state and private customers in terms of fulfilling the contracts and procurements
  • Working with electronic trading platforms (including accreditation in the Unified Information System and other electronic trading platforms necessary for operation, maintaining the relevance of documents, opening accounts, working with electronic document management systems).
  • Business correspondence.
  • Coordination of shipments under supply contracts and fulfillment of obligations under service contracts.
  • Interaction with the logistics department in terms of placing and monitoring the orders for spare parts and with the service department in terms of performing service works.
  • Maintaining the registry of contracts.
  • Creating and updating of report on spare parts writing-off and other reports.
  • Performing other assigned duties.

Education / work experience / skills:

  • Higher education
  • Experience in the field of public procurement under 44-Federal Law and 223-Federal Law not less than 2 years
  • Additional education in the field of procurement (certificate of advanced training in the field of 44-FZ)
  • Knowledge of 1C
  • Skills with working on electronic trading platforms (government, commercial)
  • Skills of self-organization of the workflow
  • Punctuality and accuracy in paperwork and correspondence
  • Legal expertise with contracts
  • High labor productivity, aiming to result, hard work, communication skills, learning ability, ability to work with large amounts of information and paperwork
  • English Intermediate
  • Advanced user of Word and Excel

Minimum Required Skills and Knowledge: Familiar with business tools such as: E-mail, Microsoft Word, Excel, and PowerPoint. Experience with HCM (e.g., Workday) or equivalent ERP product and productivity software desired. Typical Education and Experience: High School Degree or equivalent. 2 - 3 years of related experience.

Varian is required to comply with all local and applicable regulations that may be associated with vaccine requirements for certain roles.
