Job Overview:

In this Alumni Operations and Digital Infrastructure Associate role, you will be responsible for managing the Oliver Wyman alumni database and utilizing this info to influence the broader alumni strategy; you will also be responsible for managing data-related vendor relationships.

Key Responsibilities:

Data Management

  • Communicate complex data structures, processes, and requirements
  • Manage the central alumni database to ensure accuracy, including ways to improve data management processes
  • Check and proactively address email bounce-backs and alumni communication preferences (e.g., opting out of communications, unsubscribing from newsletters, etc.)
  • Collaborate with Marketing and ITS to manage consent requirements and develop a new subscription center for alumni
  • Implement quality control processes to identify and fix data inconsistencies
  • Collaborate closely with CRM Data team and Marketing to manage the alumni database using internal and external sources

Engagement Reporting

  • Collect, maintain, and report alumni data to support engagement activities
  • Analyze alumni data and metrics to inform / influence strategic decisions related to alumni communication and engagement initiatives
  • Collaborate closely with events and marketing teams to increase engagement
  • Assist with and answer queries related to alumni data and communications

Digital Campaign Management & Metric Reporting

  • Support the distribution of communications (newsletters, event invitations, etc.) to alumni
  • Collaborate with Marketing teams to establish the procedure and cadence for distributing newsletters to alumni
  • Utilize existing marketing efforts and communications to engage alumni
  • Track KPIs related to campaigns (open rates, click rates, RSVPs, etc.)
  • Proactively suggest process improvements and automations to alumni related processes

Vendor and Platform Management

  • Identify and evaluate vendors to implement a new online alumni portal
  • Explore options for data augmentation through third party vendors
  • Collaborate with data and marketing teams to establish journeys or regular check-ins with alumni to maintain updated information
  • Manage vendor relationships to ensure deliverables are met on time and within budget
  • Support the distribution of new digital content through Alumni platform(s)

Experience Required:

  • 2 – 4 years of experience in data process improvement and automation, specifically in the context optimizing of data distribution workflows and implementing solutions to enhance efficiency and accuracy
  • This includes a track record of identifying inefficiencies in data distribution processes and implementing automation solutions to streamline operations and ensure timely and accurate data delivery
  • Vendor management experience, including identifying and engaging with vendors for data-related services such as data enrichment or online alumni portals
  • This involves coordinating data management to vendors, ensuring data accuracy, and managing vendor relationships to meet deliverables

Skills and Attributes:

  • Microsoft Office software applications (knowledge of Microsoft Excel, pivot tables, formulas is a must)
  • CRM/Marketing Automation software or a strong motivation to learn
  • Tableau, Power BI or similar is a plus
  • Adobe Analytics and campaign performance metrics is a plus
  • Distributing data-driven content to engage alumni and facilitate effective communication
  • Ensuring the accurate collection and distribution of relevant data
  • Implementing data quality control processes to maintain data integrity for reporting
  • Fluent English
  • Data management and analysis, i.e., actively managing database, including collection, upkeep, and usage to support engagement activities
  • Analyzing large sets of data, identifying takeaways, and distributing data reports and analysis to relevant stakeholders
  • Working independently and as part of a team
