Requisition ID req28191 Working Title Admin Assistant 3 - ECHO Programs Position Grade 08 Position Summary The University of New Mexico’s Project ECHO is seeking an Administrative Assistant 3 to join our team! As a member of the administrative support team, you will play a key role in managing our front office and communication desk in addition to coordinating various projects.

As a successful Administrative Assistant 3, you will play an active role in working directly with members of the Administrative support team and other ECHO teams to:

  • Provide support for PCORI Grant Team and New Mexico Programs team and leadership through Outlook calendar management and meeting coordination and scheduling and facilitation of meetings through logistical support 
  • Serve as primary administrative liaison to internal and external department/agencies
  • Provide assistance related to documenting, data collection, record keeping and support as necessary
  • Organize resources and participate in planning in areas of complex projects, operations and events, using sound and independent judgment in problem solving. 
  • Monitor, reconcile and assist with fiscal administration for the department, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing
  • Utilize knowledge and understanding of operational issues to create, compose, and edit technical and/or administrative correspondence and documentation while managing and maintaining inventories, data management systems, electronic and physical filing and data management systems
  • Provide assistance as needed to help oversee and coordinate activities, presentations, etc for monthly Staff Meetings, annual Staff Retreats, other events including working with leaders and other committee leaders to set agenda and timelines, arrangement for award presentations, and create/maintain/publish and share as appropriate monthly Power-point Staff Meeting Presentation.
  • Assess organizational workflow, meet and greet individuals in person, via telephone or ZOOM, oversee office management related to administrative assistant detail; filing, faxing, copying, project management, writing, editing, minute taking, performing other clerical duties.
  • Train and oversee lower graded staff and/or students as appropriate.

Minimum Qualifications High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications •Demonstrated knowledge of Pcard procedures

  • Extensive experience schedule travel
  • Demonstrated knowledge of UNM Culture
  • Advanced skill in complex Outlook calendaring and high-level administrative support
  • Proven ability to reason, plan, solve problems, think abstractly and learn from experience in a thriving, busy, creative environment.
