PATH is currently recruiting Program Finance & Admin Associate.

Responsibilities:

Administrative Function:

  • Serves as the primary point of administrative contact on administrative matters for project team.
  • Provides a full range of administrative support to the Project Team, including scheduling travel and event arrangements, internal staff relations, external liaison, and correspondence.
  • Maintain data base of regular vendor to manage small procurement as per the procurement policy.
  • Draft meeting minutes and communication to relevant stakeholders.
  • Provides support to the senior management team with respect to group meetings and other assignments.
  • Assist in all office and administration work at Nepal office
  • Managing and supporting in maintaining facilities and stationeries of office like printer, documents files Etc.
  • Supporting in admin vendor management like courier and other work

Finance & Accounting:

  • Facilitate all financial/administrative processes for payment to Vendor/NGO/CBO.
  • Coordinates with vendors and contractors for submitting invoices within the due timeline and tracking vendor advances
  • Assist in processing Travel Expenses (TER) of PATH and non-PATH staff and keep track of Travel Advance.
  • Maintains payment tracker to know if there are any undue delay and provide payment advice to the vendor immediately after payment.
  • Process payment in Salesforce based on PADM approval.
  • Comply with applicable PATH policies, SOPs and local laws.
  • Prepare and upload required supporting documents for procurements and payments in the financial system (Business World) and ensure quality control.
  • Upload relevant information and documents in Salesforce related to sub-contracts and consultant contracts in salesforce.
  • Support PADM/Sr. PADM and other colleagues with analysis & reports during month end reporting.
  • Tracks physical files stored in onsite and offsite locations and Maintain copies of all contract/agreement/Purchase Order issued
  • Ensure that all financial transactions are properly coded and charged to the correct project codes.
  • Support PADM and an ensure compliance with PATH procurement policy ➢ Support PADM in maintain tracking tool for each specific contract/agreement .
  • Assist PADM in developing, , executing and managing project subordinate agreements (contracts, sub-agreements, work orders, purchase order and consultant agreements). 
  • Review utilization certificate received from NGO/CBO and recommend for approval to the PADM.
  • Support/assist during any audit (be it Statutory audit, internal audit, project audit or any donor mandated audits). Keep a track of outstanding audit issues.
  • Any other Accounting and Finance related tasks as requested by Senior Project Administrator (Sr. PADM)/PADM

Required skills and experience:

  • Bachelor/Masters/Post Graduate degree in Accounts/Finance with minimum of 5 years of experience in accounting processes.
  • Experience working independently in a for profit and/or international non-profit organization for at least for 5 years.
  • Knowledge of local laws related to INGO/NGO, Income Tax, Labor Law etc. will be preferred
  • Excellent computer skills in Microsoft Excel, Power point and Word.
  • Well-organized and attention to details with good follow-through skills.
  • Excellent written/verbal communication skills in English language and flexible to adapt in changing environment.
  • Proven interpersonal skills and ability to work effectively independently and in a team.

Location: Kathmandu, Nepal 

Must have legal authorization to work in Nepal.
