Job DescriptionThe Temporary Administrative Specialist will provide mid to high level admin support to staff in various departments/units across campus. The Specialist manages a complex and dynamically changing daily schedule, provides frontline support for the distribution of pertinent information and the receipt of questions and concerns from the offices of senior staff and serves as a trusted aide innumerable matters. The successful candidate must possess exceptional organizational skills, be able to multi-task, have demonstrated experience and thrive working in a fast paced environment supporting an executive level staffer with a complex and changeable schedule, and have basic budget and financial reconciliation experience.

The Specialist requires exceptional judgement, professionalism and discretion in the handling of confidential and sensitive matters.

Qualifications 

Associate degree required, bachelor’s degree preferred, combination of education and experience will be highly considered.

At least 5 years experience providing administrative support.

Job Specific Qualifications 

  • Advanced knowledge of Microsoft Office and Adobe Professional suite.
  • Assumed high proficiency in general office tasks including but not limited to calendaring, organizing meetings, office equipment management, drafting correspondence and office and conversational etiquette.
  • High level of research and data gathering ability, analytical skills, ability to read and interpret documents, basic negotiation skills, organizational skills, verbal and written communication skills, ability to prioritize tasks and manage multiple projects, flexibility and temperament to manage complex situations and work styles.
  • Excellent proofreading ability.
  • Knowledge of PeopleSoft or related ERP system is preferred.

Responsibilities 

  • Manage calendars, schedule meetings, set priorities, manage urgent matters, manage travel and coordinating with other University offices schedules, and timelines. Create detailed itineraries that include appointments with times, locations, and other meeting details.
  • Independently manage and prioritize the day-to-day operations of the department.
  • Provide expert level administrative support to staff with the day-to-day administrative work using tact, discretion, and exercising independent judgment.
  • Independently prepare materials for meetings including but not limited to daily reports, agendas, presentations and dashboards.
  • Exercise initiative, independent judgement and tact when executing tasks on behalf of the office.
  • Make conclusions and recommend solutions for administrative problems.
  • Flexibility to adapt to changing and evolving work.
