JOB SUMMARY

Manages group room enquiries (10 or more rooms / people) and related functions, dealing from receipt of request to contracting and first deposit payment. Liaise with in-house departments for a quick and smooth execution and conversion of group business. Maintains ownership of group blocks, including pickup numbers, reservation methods, billing, and proper treatment of VIP guests. Manages site inspections, organizing visits, room allocation, inspection of rooms and coordinates all departments to execute a perfect showcase of the hotel, providing accurate information on visitors Serves as a departmental role model or mentor; assigns and ensures work tasks are completed on time and that they meet appropriate quality standards. Manages and supports his team to reach common goals Maintains confidentiality of proprietary information; protect company assets. Speaks with others using clear and professional language; prepares and reviews written documents accurately and completely; answers telephones using appropriate etiquette. Develops and maintains positive working relationships with others; listens and responds appropriately to the concerns of other employees. Reads and visually verifies information in a variety of formats; stand, sit, or walk for an extended period of time. Ensures compliance with JW Marriott Operating Standards to maintain brand integrity.

MAIN DUTIES AND RESPONSABILITIES

  • Accurately process group requests, reservations, changes, and cancellations via correspondence of group rooming lists, cards, housing forms, or by any other media so selected by group client, and approved by the hotel.
  • Maintains constant and open communication with peers and leaders.
  • Loads group blocks in PMS, and MARSHA, following the established booking procedures.
  • Reviews group resumes and rooming lists to ensure accuracy and fulfill any special requests.
  • Be able to process and build/take from blocks for affiliate groups, including tracking and maintaining inventory.
  • Attends all pre-convention meetings related to specific group and housing procedures.
  • Be available on the major arrival dates for all managed groups
  • Communicates weekly with Revenue Managers, Director of Sales and all Hotel Stakeholders, to inform on the status of the groups and their development.
  • Works closely with group contacts, maintaining open lines of communication regarding changes in status of each group, i.e. pickup, slippage, cutoff dates, etc.
  • Record, store, and/or analyze information using property software.
  • Organizes, secure, and maintain all files and records in accordance with document retention and confidentiality policies and procedures.
  • Completes reports as specified.
  • Speaks to guests and co-workers using clear, appropriate and professional language.
  • Handles sensitive issues with employees and/or guests with tact, respect, diplomacy, and confidentiality.
  • Enters and locate work-related information using computers and/or point of sale systems.
  • Reads and visually verify information in a variety of formats; stand, sit, or walk for an extended period of time.
  • Protects the privacy and security of guests and coworkers.
  • Maintains confidentiality of proprietary materials and information.
  • Follows company and department policies and procedures.
  • Performs other reasonable job duties as requested.
  • Builds the department top line revenue by adhering to sales strategy guidelines set forth by the Director of Sales. Identifies revenue opportunities for the hotel based on the event profile.
  • Addresses conflict in a timely manner.
  • Contributes to team results.
  • Deals with change effectively.
  • Proactively ensures that others have the accountability, authority and resources necessary to both manage work execution and drive for results.
  • Adheres to all standards, policies, and procedures (SOPs, etc.).
  • Follows through on inquiries, requests, and complaints.

  • Analyzes candidate’s job-related themes, skills and competencies to ensure each placement decision maximizes team dynamics and talent utilization.

  • Performs all technical/procedural requirements of the job

SOP Compliance

I recognize it is my responsibility to develop my work and tasks following Marriott's Standard Operating Procedures (SOPs) and hotel's LSOPs in order to comply with them.

EMPLOYEE PROFILE

Education: High school diploma or equivalent, College degree preferred, CSEP (Certified Special Event Professional) certification preferred

  • Experience: Must have (5+) years of progressive sales experience.
  • Previous experience in the hospitality industry is a must
  • experience selling luxury brands and experiential services preferred
  • Experience with Marriott International’s tools and resources represents a preference in the hiring process
  • Speaks Fluent English
  • Speaks Fluent Italian
  • 3rd Language preferred (German – French mainly)
