Assistant to The Dean & Chaplain and Office Manager

Position Purpose

To provide comprehensive, high level support for the Dean and Chaplain and the Tucker Center by managing day to day operations through an in-depth knowledge and understanding of the department’s various programs and priorities. The position will serve as a welcoming entry point and team member of the Tucker Center staff in promoting the goals of diversity, understanding, and community through spiritual, religious, ethical, and multi-faith engagement.

Required Qualifications - Skills, Knowledge and Abilities

  • Associate’s degree or the equivalent combination of education and experience.
  • At least three years of increasingly responsible office experience in a related field,

with a high degree of autonomy.

  • Experience working effectively within a complex organization.
  • In-depth knowledge of office management practices and administrative procedures.
  • Strong organizational skills.
  • Proven ability to juggle priorities and multitask within a busy environment.
  • Initiative, sound judgment, and ability to work both independently and collaboratively as a member of a team. Ability to interact with others with tact and diplomacy.
  • Strong written and verbal communication and diplomacy skills; enjoys working with a variety of people.
  • Flexible nature, nimble, ability to adjust and respond to changing demands.
  • Strong budgetary skills, website, and social media skills.
  • Proficiency with standard office computer systems such as Microsoft Word, Outlook and Excel, Power Point, Filemaker.
  • Proactive in learning new technologies.
  • Curious, creative and engaged team player.
  • Excellent judgment and sensitivity in working with confidential information.
  • Commitment to diversity and to serving the needs of a diverse community.

Preferred Qualifications

  • Bachelor’s degree preferred.
  • Experience coordinating large-scale events preferred.
  • Two or more years of supervisory experience preferred.
  • Demonstrated successful experience in multi-faith setting preferred.
  • Proficiency with Filemaker, Engage, Drupal, Publisher, Canva.

Budget and Financial Administration—Maintains financial records, verifies monthly transactions, manages p-card and corporate card processing and transactions, works with the Finance Center to ensure valid and accurate reporting of financial activity. 30%

Description

Office Management— Manages and coordinates administrative functions of the department including oversight of Tucker space(s), website, multiple sacred and group calendars in collaboration with the Dean/Chaplain. 25%

Description

Event Planning— Manages and coordinates logistical and administrative facets of regular weekly programming along with major annual events held on behalf of the Tucker Center including Voices of Faith, MLK Multi-faith Celebration, and Baccalaureate along with student memorials and other special events. 25%

Description

Stewardship Support— Processes incoming gifts and gift acknowledgments, manages Tucker Center Friends and Al-Nur Friends appeals, manages annual endowment stewardship report mailing. 15%

Description

Personnel Administration— Serves as the Center’s primary contact with Student Employment Office and the Payroll Office for process and policy matters. Provides training to staff and students as needed. 5%
