SUMMARY

The General Clerk II shall provide clerical and accounting support at the United States Attorney’s Office in Macon, Georgia. The contractor shall complete duties as specifically assigned including reviewing invoices, and verifying information, recording requisitions and orders; processing invoices in financial systems, as in place by the office. The Contractor will analyze and maintain spreadsheets to assist in balancing and reconciling accounts. The General Clerk II will also answer telephones and visitors when called upon, review and distribute mail, and perform other related clerical duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following:

  • Accounting Support: Contractor shall review invoices and billing statements to verify information and ensure sufficient funds have been obligated and available. The General Clerk II may also need to balance and reconcile accounts. Accounting information will include coding transactions, and processing material through accounting systems. The Contractor may have to record requisitions and orders, as well as process invoices for payment in financial systems. If necessary, General Clerk II will obtain signatures on documents from various staff members, and communicate with vendors to obtain information related to payment processing.
  • Maintaining Files: General Clerk II will record requisitions and orders, as well as process invoices for payment in a financial system. If necessary, they will perform research of accounts, review financial documents for accuracy, and obtain status updates on pending expenses. The Contractor will also analyze and maintain spreadsheets and reports to assist in balancing and reconciling accounts. Furthermore, General Clerk II will sort and arrange material for filing in alphabetical, numerical, or chronological order.
  • Clerical: General Clerk II will provide office support functions. Typical clerical assignments may include: receive, review and distribute incoming mail based upon office procedures; notify staff as appropriate when faxes, and/or deliveries are received; and meter outgoing mail and deposit at the post office; receive telephone calls and visitors when called upon, and notify staff as need be.

SUPERVISORY/MANAGEMENT AUTHORITY

No supervisory or management authority.

EDUCATION and/or EXPERIENCE

  • Minimum Education: High school diploma is required, undergraduate degree preferred
  • At least one year of administrative experience
  • Proficiency in using Microsoft Office, Word, Excel, PowerPoint, etc.
  • Ability to communicate effectively both orally and in writing
  • Good organizational skills
  • Valid U.S. driver’s license and dependable vehicle
  • U.S. Citizenship
  • Ability to pass a sensitive security clearance (BI) (PSL-6-High Risk)

KNOWLEDGE, SKILLS AND ABILITIES

  • High school diploma required, undergraduate degree preferred.
  • Proficiency in the use of Microsoft Office Suites.
  • Ability to organize files and maintain reports and spreadsheets.
  • Ability to communicate effectively through phone, e-mail, and in-person.
  • Must be able to analyze, review, and verify financial documents, and process data through accounting systems.

WORK ENVIRONMENT

This position works in an office setting; some walking, standing, bending and carrying of computer items is required. There may be a need for the candidate to work overtime depending on work and caseload. Normal working hours are between 8:00 a.m. and 5:00 p.m., Monday through Friday, with the exception of Federal holidays.
