The main responsibility of the Scheduling Coordinator is to be the go-to person who makes sure all day-to-day product workflow runs smoothly and that business priorities are clearly identified and communicated to teams. The SC will schedule and create work order requests as well as be responsible to communicate studio product needs to the Digital Team in Product Central.

The Scheduling Coordinator (SC) will be independently problem-solving every day to ensure product is on set at the appropriate time. They will need to clear barriers so that teams can meet business priorities. This individual will be responsible to cross reference model confirmations with the Talent Scheduling team to ensure accuracy in acquiring correctly sized products for the models. The SC will serve as a liaison between the digital studio and other key stakeholders throughout the company to problem-solve and ensure deadlines are met.

Must have excellent organizational and project management skills. Strong ability to optimize and coordinate photography productions. Scheduling and booking of studios, products and people.

The individual in this role will...

  • Receive and process work requests, promoting smooth workflow and communication between requesters and execution. Keep content requests - including print, digital, video, photography and graphics projects - moving smoothly through the production process to completion.
  • Serve as a liaison between the requester and the content team, organizing and gathering info to ensure incoming work requests contain all necessary information needed to assign the project and set-up intake and pre- production meetings. Review submitted work requests, determine initial needs and follow up with any questions and/or concerns regarding each ask. 
  • Plan and schedule the necessary resources needed to execute work requests, leveraging productions to maximize content resources, adjusting to the demands of the business on a daily basis. 
  • Maintain daily schedule updates and plan weekly production meetings, proactively identifying any issues or barriers impacting workflow, resolving any conflicts. Maintain notes and prepare agendas for the team. 
  • Gather information, ensure accuracy, and leverage info to schedule appropriate time for teams to execute projects. Maintain the Creative Ops Scheduling
  • Coordinate resources, submit model bookings, and request product for projects.
  • Reserve sets as needed for scheduled work through resource planning tools such as QUINTIQ database.

The individual in this role will also be responsible for...

  • Providing department management with administrative support: time reporting, building capacity model, and assembling standards documentation.
  • Communicating and entering appropriate billing codes for internal bill back charges to other departments through My Time.
  • Updating technical production knowledge and continue to build business knowledge, attend in-house training, complete on-line training, read trade magazines, business material and attend off-site courses. Utilize acquired skills/training.
  • Cross-training in other areas of Content Production for continued development

Experience: 1-2 Years TV production/Video production/digital media production planning. RECENT, DIRECTLY RELATED business experience scheduling in a high-volume, fast pace industry is strongly preferred.

Education: Bachelor’s Degree in Marketing, Communications, TV or Digital Media related field
