Position Summary
We are seeking a reliable and detail-oriented Administrative Assistant to support our financial advisors and office operations. This role is ideal for someone who is highly organized, client-focused, and comfortable handling sensitive financial information.
Key Responsibilities
- Provide administrative support to financial advisors and management
- Answer phones, greet clients, and manage client communications professionally
- Schedule appointments and maintain calendars
- Prepare, process, and organize client documents and financial paperwork
- Maintain accurate records, databases, and filing systems (digital and physical)
- Assist with reports, correspondence, and basic data entry
- Ensure compliance with internal procedures and confidentiality requirements
- Perform general office duties as needed
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred
- Previous administrative or office experience required (financial or professional services experience a plus)
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook); CRM experience a plus
- High level of professionalism, discretion, and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
