About the role

The Senior Facilities Manager ensures the smooth, safe, and efficient operation of our Cluj IT Tech Hub. This role oversees all vendors, contracts, and daily office operations to create a productive, welcoming, and high-quality workplace experience for employees and visitors. The ideal candidate is hands-on, organized, proactive, and passionate about building a great office environment.

Responsibilities

  • Oversee day-to-day office operations for an on-site facility
  • Manage repairs, maintenance, and preventive maintenance schedules through external vendors - ensuring timely response, quality of work, and adherence to service-level agreements
  • Coordinate with building management and service providers to ensure facility standards are met
  • Monitor space usage and support office layout planning and small-scale fit-outs
  • Ensure meeting rooms, common areas, and office infrastructure remain in excellent working condition
  • Manage relationships with multiple vendors (cleaning, security, catering, repairs, HVAC, etc.)
  • Negotiate contracts, renewals, service-level agreements, and fees to ensure best value
  • Track vendor performance and ensure service delivery quality
  • Handle purchase orders (POs), invoices, receipts, and budget tracking
  • Oversee office supplies and hospitality services (coffee, fruit, milk, snacks, stationery, consumables)
  • Ensure a warm, professional, and collaborative atmosphere in the tech hub
  • Support new employees during onboarding (access badges, desk setup, welcome kits)
  • Ensure cleanliness, aesthetics, and comfort in all workspaces
  • Ensure compliance with Romanian health & safety regulations
  • Conduct or coordinate H&S training, fire drills, evacuation procedures, and incident reporting
  • Maintain first aid kits, safety equipment, and workplace signage
  • Liaise with authorised H&S providers, if required
  • Assist with internal events, celebrations, company parties, and team gatherings
  • Coordinate logistics for workshops, town halls, and external visits
  • Manage catering, room setup, equipment, and event vendors
  • Support travel bookings and vendor coordination
  • Arrange local transportation or couriers
  • Manage the facilities budget and track expenses
  • Prepare regular reports on facility operations, vendor performance, and costs
  • Maintain records of contracts, warranties, compliance certificates, and audits
  • Manage asset inventories and equipment lifecycle

What you'll bring

Skills & Experience

  • 3–5 years of experience in Facilities Management, Office Management, Workplace Experience, or related fields
  • Proven experience managing multiple vendors, service providers, and contracts
  • Strong understanding of budgeting, POs, and invoice workflows
  • Good knowledge of Romanian H&S legislation (or willingness to certify)
  • Excellent communication and negotiation skills
  • Ability to work independently, multitask, and prioritise
  • Very organised, proactive, and solution-oriented
  • Fluency in Romanian & English

Preferred / Nice-to-Have

  • Experience in a tech hub, IT office, or fast-paced modern working environment
  • Basic project management skills
  • Experience supporting events and workplace programs
  • Familiarity with building systems (HVAC, access control, BMS)
