Overview:
The administrative assistant provides all types of support, both in person and by phone, to both internal and external clients. They welcome visitors and provide directions, if necessary, to direct them to the appropriate people. They provide support to the country manager and any other department as needed.
Essential Functions:
Responsible for logistics when placing products and providing personalized service to customers.
Issuing invoices and charge orders.
Inventory control and management.
Handling customer payments in the warehouse.
Coordinating payments with warehouses.
Coordinating the logistics of customs documents, as well a packages, bills of lading, invoices, permits, and payments to be processed.
Controlling vessels, logistics, and the necessary documentation to ensure the process is carried out on time.
Responsible for issuing debit notes and invoices.
Preparation of physical and digital files for the company, as well as for external clients by vessel, including all documentation: contracts, nomination notices, import documents, certificates, Swift copies, and others.
Support with client questions regarding import/export documentation processes between the Execution Team and the client.
Constant monitoring of the documentation flow with the Team.
Responsible for coordinating with the team the submission of Phytosanitary Permits, translations, and documentary instructions for the issuance of import documents (direct purchases from Bunge and client imports). Review and coordinate the documentation sent with the team, validating that everything is in order.
Release of documents to customs agents to continue with the client's import process.
Sending Swift and/or transfers and payment confirmations for the release of documents and products to clients.
Qualifications:
High School Diploma.
Bachelor's degree in Business Administration, International Commerce or related field preferred.
3-5 years of experience in customer service or administrative support
3-5 years of experience in document management positions related to customs matters.
Excellent communication and interpersonal skills.
Personable professional with high work ethics.
Ability to work under pressure and achieve goals.
Ability to solve complex tasks.
Detail-oriented and customer service-oriented, adhering to strict standards of professionalism and discretion.
Knowledge of Excel, Word, and Power Point tools.
Bilingual Spanish/English.
