JOB SUMMARY
The Coordinator, COO Support, is a highly visible and critical role responsible for providing comprehensive, transversal support across the core operational areas of the company. This role acts as a central liaison and analytical engine for the COO, ensuring alignment, facilitating cross-functional projects, and driving operational excellence across all the supply chain areas such as Manufacturing, Quality, Logistics, Warehouse, procurement, Co-packers, projects, and Planning. The primary focus is to aggregate data, conduct performance analysis, and prepare strategic reports and presentations that enable the COO to make informed, data-driven decisions. The ideal candidate must have experience reviewing plant demands vs. inventory levels, and ability to keep up with fast-paced operational high-level analysis and manage ambiguity with excellence to achieve results across the multifunctional team.
RESPONSIBILITIES/DUTIES
Operational Performance Analysis & Reporting:
- Collect, compile, and analyze operational data and KPIs from all operational departments (e.g., OEE, Quality metrics, on-time delivery, inventory accuracy, procurement savings).
- Prepare weekly, monthly, and quarterly performance dashboards and reports for the COO, highlighting trends, risks, and opportunities.
- Develop and maintain analytical models to forecast operational outcomes and simulate various scenarios.
Cross-Functional Project Coordination:
- Support the COO in managing key cross-functional initiatives and projects aimed at improving efficiency, reducing costs, and enhancing quality across the supply chain.
- Facilitate regular meetings between departmental heads tracking action items, decisions, and progress against project timelines.
- Ensure effective communication and alignment between various operational functions.
Executive Support & Communication:
- Prepare high-quality presentations, briefing documents, and materials for internal executive meetings.
- Manage the COO's operational calendar, prioritizing key meetings and ensuring all necessary preparation and follow-up are complete.
- Draft and manage internal and external operational communications on behalf of the COO sometimes as part of the supportive team leadership.
Process Improvement & Standardization:
- Work with department leaders to document, standardize, and streamline operational processes across different functional areas.
- Identify and flag process bottlenecks or inconsistencies that require the COO's attention.
Budget and Resource Tracking:
- Assist the COO in monitoring the operational budget performance and tracking key capital expenditure projects.
WORK EXPERIENCE/KNOWLEDGE:
- 3 – 5 years’ work experience in Procurement
- Strong collaboration, communication, and influencing skills
- Strong analytical and project management skills
- Experience with various procurement tools (SAP, DocuSign, etc.)
- Proficient in Microsoft suite (Excel, Word, Outlook, etc.)

FORMAL EDUCATION:
- Minimum of 3-5 years of progressive experience in a high-intensity operational, analytical, or project management role.
- Previous experience in a manufacturing, supply chain, or operations environment is essential.
- Experience supporting executive-level leadership is highly desirable.
WORKING CONDITIONS:
- Environment: Primarily an office-based role; requires high levels of concentration and attention to detail.
- Hours: Standard business hours are expected, but flexibility is required to accommodate project deadlines and executive support needs, occasionally involving work outside of typical hours.
- Travel: Minimal to moderate travel (up to 10-15%) may be required to visit manufacturing plants, warehouses, co-packer sites, or participate in off-site meetings.
