This recruitment will be used to fill four (4) part-time (a maximum of 24 hours per week) Onboarding Student Coordinator for the Office of New Student Onboarding (NSO) at Oregon State University (OSU).

The Onboarding Student Coordinator (OSC) position is a senior student leadership position in the Office of New Student Onboarding (NSO). NSO collaborates with campus partners across the university to plan and implement all onboarding aspects including but not limited to Prepare virtual learning opportunities, Launch orientation programs, Connect (welcome week) events, large first-year Engage programs, and programming for parents and families. The role occurs year-round to support students and their families to ensure a smooth and successful transition to OSU.

Shifts during the academic year will focus on onboarding planning, administrative and office tasks, program logistics, improvements, and supervisor and staff meetings.

Program support throughout the year (and heavily during the summer) will focus on the implementation and support of all onboarding and first year initiatives and programs, and the supervision of orientation leaders (OLs).

This role experiences seasonal fluctuations of support needs and rapid change. Successful candidates in this role will need to demonstrate flexibility and a willingness to adapt.

As the highest level of student leadership within New Student Onboarding, this role sets the tone for professionalism, customer service, excellence, and integrity across the team. Students in this position serve as official representatives of Oregon State University and are expected to demonstrate polished communication, strong organizational skills, and a proactive approach to supporting guests and staff.

The Onboarding Student Coordinator position is a part time, year-long position with responsibilities starting in February 2026. Hired staff are required to attend all dates outlined in their employment agreement. Failure to meet these obligations may result in job action.

Position Duties

Office Administrative Support

  • Assist and support NSO Operations Manager with any administrative tasks including but not limited to email, phone support, and webchat.
  • Maintain consistent office hours to support front desk operations for NSO and other departments, as needed.
  • Create a welcoming and inclusive environment for our guests and staff
  • Lead and support preparation of all event logistics including (but not limited to) planning documentation, inventory management, material creation, logistics, and more.
  • Create systems, processes and documentation NSO operational needs, program logistics and administrative office duties to support future OSC’s.
  • Review assessment data and develop reports of NSO program outcomes for future iterations and improvements.
  • Assist in email, phone, and text communications campaigns for incoming students and their families.
  • Share ideas and discuss initiatives with professional staff that support the continuous improvement of the NSO programs and OL development.
  • Manage technology for onboarding programming, logistics and student leader support including, but not limited to Microsoft 365 systems, Slate CRM, email platforms, and more.
  • Ensure confidentiality and compliance with FERPA and OSU ethics policies.
  • Other similar duties as assigned.

Programmatic Support

  • Support New Student Onboarding professional staff in the planning and execution of all onboarding programs and logistics.
  • Attend all assigned onboarding events including but not limited to training sessions, rehearsals, family weekends, Connect events, and more.
  • Fulfill similar responsibilities of OL’s throughout programs (as needed), such as the support of all programmatic needs including (but not limited to) guiding small groups, large group announcements, transportation of materials, directing traffic, set up and break down of signage, tables, chairs, and decorations for NSO events (and so much more!)
  • Develop and maintain positive working relationships with all student staff, supervisors, and campus partners.
  • Attend and participate in all assigned onboarding and family events such as (but not limited to) Launch, staff trainings, family weekends, Connect, and office hours.
  • Work independently and collaboratively on specific projects. OSC projects are subject to change based on programmatic needs and structure. The following list are examples of possible OSC programmatic projects:
  • Improvement of onboarding program logistics such as check-In and OSU spirit opportunities.
  • Creation of Onboarding Presentations
  • Preparation and updates for all NSO technology needs.
  • Development and maintaining of OL work schedules
  • Building student staff traditions
  • Other similar duties as assigned.

Orientation Leader (OL) Mentorship and Supervision Expectations

  • Serve as a leader, role model, and mentor to Orientation Leaders (OLs), facilitating team bonding and instilling positive team dynamics.
  • Support Orientation Leaders by providing guidance throughout their experience.
  • Support New Student Onboarding professional staff with the design and implementation of OL training, curriculum, including recruitment, interviewing and ongoing development.
  • Facilitate and lead components of OL training, recruitment, interviewing, and development.
  • Identify and plan opportunities for ongoing engagement for OLs.
  • Assist OLs with day-of program logistics and support, as needed.
  • Other duties as assigned.

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*
  • International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
