We are now looking for a Logistics & Documentation Officer to be responsible for ensuring all shipping documentation, customs entries, and cargo movements are processed efficiently and accurately. This role plays a critical link between our operations, customers, and regulatory partners — ensuring compliance, efficiency, and exceptional service delivery.

Job Description

Reporting to the Operations Manager, you’ll manage the preparation of import/export documents, oversee ASYCUDA entries, and coordinate with internal teams to keep shipments on track. You’ll also support sales and administration functions to help drive operational excellence and customer satisfaction, as well as:-

  • Prepare and process Bills of Lading, manifests, delivery orders, and export/import documentation.
  • Manage ASYCUDA data entry and ensure compliance with Samoa Customs regulations.
  • Resolve documentation discrepancies with customers, agents, and Customs officers.
  • Coordinate with shipping, warehouse, and transport teams to ensure smooth cargo clearance and delivery.
  • Maintain accurate records and digital filing for audit and reporting purposes.
  • Support daily cargo dispatch, tracking, and communication between depots and customers.
  • Monitor vessel schedules and ensure documentation readiness.
  • Liaise with NZ-based logistics teams and vessel operators for updates and bookings.
  • Prepare and transmit export manifests and EDI files according to vessel schedules.
  • Act as the frontline contact for customers on shipment status, documentation, and customs clearance.
  • Issue timely arrival notices and booking confirmations.
  • Provide professional, prompt, and solution-oriented customer support.
  • Assist the sales team with quotations, customer updates, and report preparation.
  • Maintain shared documentation and support management with KPI data and ad hoc administrative tasks.

Qualifications

Here’s what you’ll bring to the table:

  • Minimum 7th form/Year 13 high school qualification.
  • At least 3-5 years’ experience within shipping, logistics, or documentation roles.
  • Strong working knowledge of ASYCUDA and customs procedures.
  • Familiarity with cargo manifesting and vessel operations.
  • A valid driver’s licence is preferred.
  • Proficiency in Microsoft Office and shipping documentation systems.
  • Strong customer service and communication skills (English and Samoan).
