TheRegional Office Manager (ROM) oversees the daily operations of administrative support teams and facilities in a matrixed leadership environment within their assigned state. ROM will work closely with the Market Vice President to ensure fundamental administrative systems and protocols are standardized across the market and functioning effectively to foster market/site goals. Responsible for screening, training and onboarding of administrative staff and working closely with Market Vice President to support the marketing team, community outreach, regional directors and clinical directors. Responsible for helping in the set-up of new locations and acquisitions, including but not limited to, utilities, equipment, furniture deliveries, installation, and pick-ups. Ensures all new and existing building needs are met across all clinic locations, including clean up, cosmetic repairs, equipment updates and fixes, and all other site related maintenance tasks. Other duties include strategic planning and goal setting to align with the company.
Key Responsibilities
Office/Admin
- Provide support and back up for Front Office Admin duties on site
- Manage coverage for administrative staff at local offices
- Communicate site concerns to leadership
- Support, onboard and train new employees
- Interview/recruiting of administrative staff
- On site presence and check ins with administrative staff as needed
- Communicate with CDs and Regional Leadership via text/phone/email/Microsoft Teams and problem solve
- Work closely with Clinic and Medical leadership
- Participate in team meetings as applicable
- Use performance metrics to manage front office daily operations
Facilities/Maintenance
- Manage and support on site facilities and maintenance concerns and issues
- Coordinate with new and existing vendors, ensuring follow through of vendor responsibilities, payments, and contract agreements are met
- Ensures new locations are prepared for opening day
- Minor facility duties – i.e., changing light bulbs, cosmetic and equipment repairs
- Placing service calls for additional jobs needed – i.e., plumbing, electrical
- Assist with basic IT management including set-up of new computers, printers, fax machines
- Supplies and equipment ordering and scheduling of deliveries
- Transportation of supplies and equipment from site to site when needed
- Additional duties and responsibilities as assigned by supervisor
- Travel required
Qualifications
- 5+ years of office management/people management experience, preferably in healthcare.
- High school Diploma
- Reliable transportation and clean driving record for travel to clinic locations
- Strong communication skills
- Ability to occasionally lift and transport heavy items
- Knowledge of contract management
- Healthcare and/or Behavioral health experience. People management experience. Experience handling complex interpersonal issues. Ability to work in a Dyad partnership with Clinical Directors (Preferred)
