Position Information

TxDOT's Austin District is looking for an Administrative Assistant II, III or IV to work at the Travis North Area Office located in Austin, Texas. This position performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. The work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

This position is for one Administrative Assistant II, III or IV. The Texas Department of Transportation reserves the sole right in determining the level of position based on the applicant's work experience, education, skill level, and all other appropriate factors, and based on business needs.

Salary Plan/Grade:

Administrative Assistant II: A15 ($38,976.00 - $52,320.00/yearly)

Administrative Assistant III: A17 ($42,976.00 - $58,020.00/yearly)

Administrative Assistant IV: A19 ($48,244.00 - $67,692.00/yearly)

Position Description

This position performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Essential Duties:

The Essential Duties for an Administrative Assistant II, III or IV Include:

  • Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed.
  • Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information.
  • Maintains records and inventories of materials, supplies and equipment.
  • Receives new, retires old and records transferred equipment; witnesses and documents the disposal of retired equipment; ships obsolete equipment to a central storage area.
  • Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.
  • Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
  • Processes receipts and invoices for payment.
  • Creates requisitions, blanket purchase orders, and enters receipts in PeopleSoft in support of the division or district.
  • Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and submitting reimbursement on the traveler’s behalf.
  • Performs other job responsibilities as assigned. This position requires driving a state vehicle.

Additional responsibilities of an Administrative Assistant III and IV Include:

  • Reviews information going to the supervisor and highlights important matters; researches and provides additional information as needed; briefs supervisor on background information needed for meetings.
  • Reviews, analyzes and evaluates program content in order to monitor and develop administrative policies and procedures and to identify problems and recommend solutions

Additional responsibilities of an Administrative Assistant IV Include:

  • Coordinates front office operations to include responding to telephone calls, email, walk in customers, and routing messages.

Minimum Qualifications:

Education: High School Grad or Equivalent in general high school studies.

Experience:

Administrative Assistant II: 1 YEAR in administrative or clerical support, customer service, or related experience.

Administrative Assistant III: 3 YEARS in administrative or clerical support, customer service, or related experience.

Administrative Assistant IV: 4 YEARS in administrative or clerical support, customer service, or related experience.

(Experience can be satisfied by full time or prorated part time equivalent). Related graduate level education may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications

Licenses and Certifications:

Valid driver’s license. This position requires driving a state vehicle.

Competencies:

  • Applicable governmental laws, rules and regulations specific to area of responsibility for safeguarding information and information technology related systems
  • Applicable computer systems and applications
  • Inventory/stock control procedures
  • Public relations for maintaining effective working relationships with individuals and groups, both internal and external
  • Coordinating and scheduling activities/resources
  • Administrative support practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management

Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
  • Sitting - prolonged periods of time
