What We’re Looking For

Key Responsibilities

Leadership & Management Team Support

  • Support the Managing Director and management team in tracking, managing and prioritizing strategic initiatives and high-priority projects.
  • Ensure the Managing Director is always briefed, prepared, and focused on the right priorities.
  • Draft meeting agendas and prepare materials for key meetings.
  • Track meeting outcomes, deadlines, and follow-ups, ensuring strategic priorities stay on track.
  • Support management team and team leads in tracking business, resourcing, and operational goals.
  • Assist in business development efforts, including tracking opportunities and coordination of content and materials.
  • Understand the nature of our client business and act as the bridge to ensure all aspects of business operations integrate seamlessly.

Operational Leadership & Efficiency

  • Act as the internal point of contact, ensuring smooth communication across teams.
  • Serve as the central knowledge hub, organizing and structuring information for leadership.
  • Coordinate responses to urgent issues, ensuring timely and effective resolution.
  • Act as an early warning system by flagging potential risks and operational bottlenecks.
  • Identify inefficiencies in workflows and propose process improvements.
  • Ensure that best practices are documented and institutionalized within the team.
  • Maintain key documents, reports, and background materials, ensuring easy access to critical information.
  • Organise and coordinate operations for increased productivity, efficiency, and growth in support of the management team

Calendar and Schedule Management, Travel Coordination

  • Own and manage the Managing Director's calendaroptimizing time, global time zone coordination and balancing priorities.
  • Coordinate complex scheduling, travel, and stakeholder meetings with efficiency.
  • Manage general calendar events administration, including but not limited to invitation emails, confirmation emails, chasing outstanding responses, filing, and upkeep of related databases.
  • Arrange complex international and domestic travel itineraries, including flights, accommodations, visas, and ground transportation.

Office & Facilities Management

  • Prepare and coordinate all staff meetings and related agendas
  • Draft and execute a range of employee communication materials in relation to office and business operations.
  • Manage internal workflows related to facilities, office operations, and external vendor coordination.
  • Oversee all aspects of reception, facilities, and office management matters, including but not limited to managing office space maintenance, monitoring staff whereabouts and administering office-use policies etc.
  • Collaborate with the HRBP for people related matters such as employee engagement events, candidate interview arrangement, new joiner onboarding and employee off boarding.
  • Ensure compliance with local regulations related to health, safety, and office use, especially during critical events or special measures.

Qualifications & Experience

  • 3 – 5 years of experience in business management, executive support, operations, or internal coordination.
  • Strong calendar management, scheduling, and stakeholder engagement skills.
  • Excellent written and verbal communication—able to manage priorities and align teams.
  • Experience in consulting, corporate operations, or professional services is a plus.
  • Proficiency in Microsoft Office and task management tools.
