Salary: $26.00 - $30.00
We're looking for a highly motivated and detail-oriented Operations / Office Administrator to join a leading life safety systems company in the West End.
Required skills and qualifications:
- 1-2 years of administrative and office experience, preferably in a service-oriented environment (electrical, fire or security alarms, mechanical, etc.)
- Experience with QuickBooks Desktop preferred, but QuickBooks Online experience is also acceptable
- Proficiency in MS Office (Word, Excel, Outlook) and other software such as SME and Inspect Point (experience with these systems is an asset)
- Tech savvy with a willingness to learn new systems and software
- Strong communication and organizational skills, with the ability to prioritize tasks and manage multiple responsibilities
- Ability to work independently as a self-starter with a sense of initiative, willingness to ask questions, and awareness of colleagues' priorities and focuses
- Business Administration Diploma or related certification is an asset
Duties may include but are limited to:
- Generate invoices accurately and efficiently using QuickBooks, ensuring all invoices are properly documented and filed
- Create and process work orders as needed, ensuring all work orders are properly assigned and tracked
- Complete monthly inspection spreadsheets accurately and on time, generating and printing inspection work orders and repairs as required
- Close completed work orders, verifying completion and ensuring all necessary documentation is in order
- Monitor office supplies and order replenishments as needed to maintain an organized and efficient office environment
- Respond to calls and emails in a timely and professional manner, providing excellent customer service to clients and stakeholders
- Manage financial data and transactions in QuickBooks, ensuring accuracy and compliance with accounting standards
