JOB SUMMARY
The Executive Assistant works under the direction of the Chief Executive Officer (CEO) The Executive Assistant performs a variety of highly responsible, complex, and confidential executive level administrative support functions involving the use of independent judgment and personal initiative with a positive attitude and high level of professionalism. Participates in achieving the department’s goal in meeting CCH mission, vision, and values.
ESSENTIAL FUNCTIONS
- Performs a variety of highly responsible, complex, and confidential administrative support functions involving the use of independent judgment and personal initiative with a positive attitude.
- Provides full administrative support for the CEO and C-Suite Executives. Maintains continuity of coverage for other Executive Assistants.
- Understands the organization and operation of the department to assume assigned tasks and responsibilities.
- Collaborates with other team members and manages changing priorities in a fast-paced environment with an extensive workload.
- Organizes and coordinates materials for internal/ external meetings and presentations. Records, transcribes, and distributes accurate meeting minutes.
- Assists CEO and C-Suite with scheduling meetings and coordinates travel arrangements as necessary.
- Serves as communication link between CEO, C-Suite, Board, Management, Medical Staff, Legal Counsel, Hospital Staff, and the public.
- Provides support to the Board of Trustees by working with the Board and CEO to coordinate and complete administrative and Board activities. Assists the CEO with as many job-related projects as possible.
- Maintains CCH business contracts and business associate agreements.
- Coordinates the development, revision, and distribution of Administrative and Governing Board policies and procedures.
- Coordinates the monthly Administration, Community Relations, and Pharmacy on-call schedule.
- Encourages cost savings for the department and organization.
- Models excellent customer service as first impression of the department.
- Maintains confidentiality and exercises solid judgment while communicating with people at all levels using courtesy and discretion.
- Adheres to deadlines by working extended hours as needed by the administrative team.
- Serves as a resource for other department managers and secretaries.
- Reviews department managers’ time and attendance for accuracy for the CEO.
- Completes the annual hospital license application.
- Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.
- Must be free from governmental sanctions involving health care and/or financial practices.
- Other duties as assigned. This list is non-exhaustive.
JOB QUALIFICATIONS

- Experience
- Minimum of three years of executive level administrative experience.
- Superior computer skills, including extensive knowledge of and experience using MS Office software (Word, Excel, PowerPoint and Outlook).
- Knowledge of medical terminology preferred.
