What you’ll be doing
To act as partner and provide enhanced client management and high level EA/administrative support to the Global Head of the Old Masters Department and Senior Directors based in King Street, London.
This role is an excellent opportunity for a motivated individual who aspires to working in a fast paced, international department, someone who is confident dealing with senior colleagues and top clients and has a passion for the Art Industry. This role will give the candidate experience in managing client interactions, complex diaries and an overview of business strategy.
How You'll Make an Impact
- Point of contact for clients of the Global Head of Department and Senior Directors:-
- Provide a key point of contact for their clients; direct and respond to requests for estimates; provide assistance with overseeing consignments and buying activity; liaise with Legal department and other departments for consignments of multiple works; post-sale support and assistance with purchased lots, occasional telephone bidding, as and when required
- Build and maintain strong working relationships with the offices of relevant clients, senior stakeholders and their assistants and advisors
- Keep Client and Object system (COS) up-to-date, ensuring client information is correct
- Provide the vital pre-sale, sale and post-sale support necessary to maintain constructive and successful client relationships
- Progress sale or insurance valuation requests by liaising with Valuations and the specialist departments
- Gatekeeper for external calls and internal enquiries for the Global Head of Department and Senior Directors
- Awareness of sale dates and major events that should be attended by the Global Head of Department and Senior Directors
- Oversee inboxes, manage diaries and respond to emails as required on behalf of the Global Head of Department and Senior Directors
- Work with the Events, Hospitality and Client Strategy teams to organise any events hosted or attended by the Global Head of Department and Senior Directors, including catering arrangements, booking of meeting rooms and assisting with boardroom lunches and dinners
- Department point of contact for Heritage & Taxation with regards to operational aspects relating to Old Master Paintings, i.e. arranging viewings, transport, etc. as and when required
- Assist on projects; including PowerPoint presentations, Excel work, preparation for conferences/lectures and Private Sales
- Assist in managing annual reviews for the Global Head of Department’s reporting lines
- Collection and opening of written correspondence, discussing action to be taken, etc.
- Organize all travel arrangements (flights, trains), accommodation, transfers and/or car rentals, itineraries, calendar, visas etc. and related expenses for the Global Head of Department and Senior Directors
- Manage monthly submission of expenses online using Workday
- Liaise with IT department regarding any IT related issues (PC, laptop, iPhone or landline)
- Assist with running of the Old Master Paintings department, i.e. arranging weekly team meetings, taking minutes, ordering stationery and helping to arrange team gatherings, as required
- Additional ad hoc EA support to the Global Head of Department and Senior Directors, as required
What you’ll bring to the team
- Exemplary administrative, liaison and organisational skills; with an ability to work to tight deadlines and problem-solve
- Proven ability to prioritise for multiple stakeholders
- Prior experience supporting executives/senior leaders preferable
- Attention to detail, accuracy, business process driven; naturally seeks continuous improvements and best practice
- Excellent communication skills and telephone manner
- A professional attitude along with excellent interpersonal and client facing skills
- Good understanding of international etiquette and salutations
- Ability to remain calm under pressure using strong diplomatic skills
- Ability to establish effective working relationships with colleagues and clients
- Ability to work with the utmost discretion
- Ability to work both independently and collaboratively
- Advanced user of MS Office suit (in particular Word, Excel, PowerPoint, Outlook and Teams) and relevant Christie’s systems (e.g. JDE, Workday, COS, Canvas etc.)
- Project management skills
- Prior auction house or art sector experience preferable
Salary: £35,000 - £39,000 per annum
