Salary Range (Depending on Experience):

POSITION SUMMARY
Implement directives of the MLK-CMG Vice President Ambulatory Services and Supervisor, Hospital Administration. Administer operations of the Vice President’s office providing confidential, comprehensive executive support and assistance to the Vice President. Coordinate and perform projects, activities, appointments and administrative functions in the Administration Office utilizing knowledge of office systems and procedures and interdepartmental functions. The Executive Assistant to the MLK-CMG Vice President Ambulatory Services reports directly to the MLK-CMG Vice President Ambulatory Services and Supervisor, Hospital Administration
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Administer day-to-day operations of the Vice President’s office by coordinating the workflow of the Vice President’s daily activities. Provide confidential executive administrative assistance to the Vice President. Support and manage the Administration Office's operational flow; screen incoming calls with professional, friendly demeanor and direct calls appropriately.
- Proactively manage and optimize Vice President’s time, travel, and meeting attendance.
- Maintain and manage Vice President’s calendar and schedule, and coordinate appointments.
- Facilitate meeting arrangements for the Vice President including preparation of materials and documentation required in advance and/or as needed.
- Establish and maintain effective communication with staff members reporting directly to theVice President .
- Assist Vice President with physician and health provider, onboarding and training . Oversee process to ensure timely contract execution.
- Participate in organizational planning and implementation processes as assigned .
- Ensure timely reciprocal exchange of information between Vice President and staff.
- Plan and coordinate events, staff meetings, retreats, etc. on behalf of the Vice President.
- Receive and open incoming correspondence addressed to Administration, Community Medical Group, Medical Foundation and/or Vice President and determine proper disposition and route appropriately.
- Compose, prepare and complete written correspondence, reports, spreadsheets, etc. of professional quality for the Vice President and others as directed.
- Supports health plan grievance response and follow up through intake, distribution, response timing, monitoring and submission.
- Manage special projects on behalf of Vice President as needed.
- Assists with statistics, data, online search, studies and reports as required.
- Updates, edits, and proofreads internal and external documentation.
- Monitor progress toward completion of assigned tasks and supports timely submission of reports. .
- Apprises the Vice President of status and progress of assigned tasks.
- Provides similar supports as listed in the Essential Duties and Responsibilities to the Medical Director of MLK Health Associates.
- As directed by VP or Supervisor, Provides similar supports as listed in the Essential Duties and Responsibilities to the leadership team of the Medical Group.
- Other duties as assigned.
POSITION REQUIREMENTS
Education
- Bachelor's degree required. Candidates with extensive years of experience will be considered in lieu of degree.
B. Qualifications/Experience
- Two (2) years previous executive assistant experience required, preferably supporting C-level and/or executive management
- Two (2) years experience in the health care industry preferred.
- Two (2) years of project coordination experience required, Acute care hospital experience preferred
- Demonstrated knowledge and skills necessary in the use of Microsoft Office applications
