Job Summary:

Supports the day-to-day operation of the Facility Use Office and works with the community to schedule use of district facilities.

Qualifications:

  • High School diploma or equivalent
  • 3-5 years experience in administrative support
  • In-depth knowledge in Microsoft Office, Google and database applications
  • Strong attention to detail and accuracy
  • Outstanding written, telephone, social and interpersonal skills
  • Strong skills in organization and creative thought including systems thinking and problem solving
  • Ability to take initiative and demonstrate a strong work ethic
  • Extensive skills in communication, word processing, filing and data entry
  • Ability to manage, prioritize and complete work assignments from multiple sources in a timely fashion
  • Ability to work independently with minimal supervision and as a team member
  • Flexible and adaptable to changing priorities and workloads
  • Ability to interact with people in a positive and effective manner, customer focused
  • Demonstrated experience and proficiency working with a culturally, ethnically, racially and socioeconomically diverse school community is preferred.

Responsibilities:

  • Provide administrative support with daily office operations.
  • Screen and respond to telephone calls, emails and inquiries from the public and district staff.
  • Build and maintain master calendars for designated schools and facilities.
  • Receive, process and manage facility use requests, including:
    • Data entry of class requests and general permits
    • Distribution of permits to building personnel and customers
    • Communication with user groups and district staff
    • Resolve scheduling conflicts or facility use concerns in collaboration with the Facilities Manager or Coordinator.
  • Initiate and maintain billing records for building use; process deposits for facility rentals and Community Education sponsored programs.
  • Assist with the scheduling, inservice, scheduling and communication of building supervisors.
  • Process timesheets, purchase orders, check requests and refunds.
  • Assist the manager and coordinator in communicating with district administration, support services and building staff.
  • Maintain and coordinate organized filing systems for optimal office efficiency.
  • Monitor budget reports and facility expenses and revenues.
  • Provide information and assistance to Community Education staff, district staff and the public.
  • Perform other duties as assigned by the Community Education Facilities Manager and Coordinator.

Compensation / Benefits:

RAVE Clerical Association – Wage Group II : $23.20 - $26.04 Hourly - According to contractual agreement (based on 2024-25 contract)
