The Human Resources Coordinator for Academic Affairs serves as a liaison for the USC Upstate Provost’s Office and with the USC Upstate Human Resources office as well as the College Deans and Department Chairs to ensure timely and accurate support for academic units at USC Upstate, in accordance with the Academic Affairs policies, Faculty Manual, Human Resources policies and procedures, and state and federal regulations.

Job Related Minimum Required Education and Experience

Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials

Preferred Qualifications

Bachelor’s degree and 3 years related experience in a higher education setting is strongly preferred.

Knowledge/Skills/Abilities

A successful background check is required. Ability to interpret policies and procedures and communicate effectively to administration, staff, faculty, and students; ability to plan and coordinate vital administrative functions; ability to be pro-active and meet deadlines; ability to train others of various levels of experience; high level user of Microsoft Office and Adobe applications; thorough understanding of Academic Affairs operations and policies; broad understanding of human resources principles and how to apply them to an academic setting. Use discretion when dealing with confidential information; develop and cultivate positive and beneficial relationships with human resources staff and other offices on campus and on the main campus.

Job Duty

Coordinates with and advises Deans and Department Chairs on faculty recruitment efforts that are timely, competitive, cost-effective, and accessible; Coordinates faculty new FTE requests for posting with USC Upstate Human Resources office. Liaises with the USC Upstate Human Resources Office and Office of International Services to ensure compliance with all university policies and state/federal laws; Coordinates placement for required advertisements for full-time positions and maintains necessary records; Assists new faculty with hiring procedures, onboarding, and orientation; Plans and leads trainings and workshops annually for administrators, search committee members, and administrative staff on faculty search processes.

Coordinates departmental adjunct posting/advertisements with USC Upstate Human Resources office for placement on HR Employment webpage for faculty.

Responsible for tracking and processing all faculty human resources actions, including appointments, reappointments, sabbaticals, modified duties, and other related actions; Creates offer letters, initiates faculty FTE hiring proposals for those reporting to the Provost and all forms of appointment-related extra compensation for faculty to include supplements; Reviews and processes all other HR actions initiated by departments, such as:

  • Faculty FTE hiring proposals
  • Adjunct hiring proposals
  • Faculty Overloads
  • Administrative Salary Adjustments
  • Special Assignment Pay
  • Temporary Salary Adjustment
  • Internal and external duals
  • Summer pay

Initiates and/or approves all temporary hiring activities in Academic Affairs Administration; Resolves and troubleshoots issues with faculty pay; Plans and leads trainings 2-3 times per year on Adjunct hiring and coordinates additional sessions when major changes in policies and/or procedures necessitate training; Maintains proficiency in PeopleSoft and PeopleAdmin as a user and as a main contact for support.

Responsible for keeping accurate records of the faculty ranks for use by Deans, Chairs, and other administrators including review scheduling and tracking (annual, peer, promotion/tenure, and post-tenure), rank, salary, status, teaching load, and leave; Collects and reviews the full-time and part-time rosters for all departments to check for compliance and equity; Provides reports as needed to the Provost, faculty committees and the Faculty Senate.
