Summary

Work closely with buyers in the Print/OOH media group to coordinate the scheduling, processing, and trafficking of advertisements from inception to completion of Print and OOH campaigns. Out-of-Home (OOH) advertising encompasses all forms of advertising outside the home. This includes but is not limited to static and digital billboards, buses, subway and rail advertising, digital screens in high traffic areas, as well as cinema/movie theater ads. Print advertising is a form of marketing that uses physically printed media to reach consumers on a broad scale. This includes ads printed in hard copies across different types of publications such as magazines and newspapers.

Responsibilities

Essential Duties and Responsibilities:

OOH:

  • Assist in the Request for Proposal (“RFP”) process
  • o Initiate requests in platform to request avails in specified markets and OOH vendors.
  • o Follow up with vendor partners to ensure deadlines are met and submissions are received.
  • o Edit and review vendor submissions for buyers review. This includes finalizing powerpoint decks and excel spreadsheets with all OOH details included.
  • Input approved media buys into our billing system to generate the necessary paperwork for client sign off.
  • Spearhead production process for creative
  • o Request creative specs from media vendors and send to appropriate client contacts.
  • o Work with our printing partner to ensure timely delivery of creative in market.
  • o Follow up with media vendors once campaign has started to ensure campaign is posted and live.
  • o Create proof of performance (“POP”) decks to send to client contacts which will include images of the OOH campaign.
  • Manage reports that are needed from clients, including post buy recaps, actualization of campaigns (impression delivery and start/end dates), and detailed buy summary reports.
  • Work closely with our finance team to resolve billing discrepancies.
  • Attend vendor presentations and webinars as needed.
  • Interact with various departments within Active as needed.

Print:

  • Assist in the Request for Proposal (“RFP”) process
  • o Compose, coordinate, and distribute RFPs to publication consideration list.
  • o Follow up on receipt of RFP before deadlines
  • o Organize and review RFP responses and put together analysis based on RFP responses
  • Assist buyer in process discussions with agencies
  • Assist buyer in the management of agency/client daily expectations
  • Assist buyer as needed with the P&L setup, organizing information in respective account/campaign folders.
  • Execute insertion orders accurately with regards to price, positioning, and issue/close dates to avoid billing discrepancies
  • Enter campaigns into billing system and manage billing reconciliations

  • o Revise insertion orders based on actualize frequency and circulation
  • o Pull/request billing reports and reconcile billing packets to meet monthly department goals
  • Attend client, agency, and media vendor meetings as needed
  • Schedule media vendor meetings
  • Interact with various departments within Active as needed

Qualifications

  • Bachelor’s degree preferred or equivalent experience is required
  • 1 year of related experience preferred
  • Proficiency in Microsoft Word and Excel and Powerpoint, required
  • Proficiency in SpectraOX, a plus
  • Experience with any of the following proprietary or media applications, a plus:
  • o Kantar – SRDS Media Planning Platform
  • o Nielsen
  • o Telmar

Travel

This position does not require regularly scheduled travel.
