About the Role

The Patient Services Clerk is accountable for providing clerical support and facilitating patient management within Clinical Neurosciences. The PSC will be involved in booking appointments, reception duties, delivering customer service of a high standard and providing high level administration assistance to the Neurosciences Consulting Rooms.

  • Handling medical records and patient information, high level administration, dealing with telephone enquiries, filling of medical records, making appointments and liaising with patients, doctors, nurses and other members of the multidisciplinary team.
  • Greeting all patients in a polite and efficient manner, collecting referral letters and test results and ensuring these are available for doctors when they see the patient.
  • Ensuring efficient and accurate data entry of patient details into PAS. Confirming all appointments by telephone for new patients prior to their appointment.
  • Setting up of clinics for the following day as required.

Classifications for this position will range from HS2 – HS21 ($66,768 - $73,811 per annum pro rata)

Your Contribution

  • Minimum of Year 12 HSC / VCE or equivalent
  • Minimum 2 years’ experience as a PSC or equivalent in a health service.
  • Ability to work in a fast-paced department
  • Demonstrated high level communication skills, written and verbal
  • Ability to work in a multidisciplinary team and ability to work independently
  • A valid Nationally Coordinated Criminal History Check, or willing to obtain

POSITION PURPOSE

The Patient Services Clerk is accountable for providing clerical support and facilitating patient management within Clinical Neurosciences. The PSC will be involved in booking appointments, reception duties, delivering customer service of a high standard and providing high level administration assistance to the Neurosciences Consulting Rooms.

This position will include a wide range of duties including handling medical records and patient information, high level administration, dealing with telephone enquiries, filling of medical records, making appointments and liaising with patients, doctors, nurses and other members of the multidisciplinary team

POSITION DUTIES

  • Greet all patients in a polite and efficient manner
  • Collect referral letters and test results and ensure these are available for doctors when they see the patient.
  • Ensure efficient and accurate data entry of patient details into PAS.
  • On completion of patient visit, ensure follow up of appointments are made as required and all requests for tests and or referrals faxed to correct Departments.
  • Arrange patient transport where required
  • Arrange telehealth appointments when necessary
  • Book interpreters for patient when required
  • Ensure effective use of email with regard to communication with doctors.
  • Forward received correspondence and results once sighted by consultants to medical records
  • Maintain patient files and ensure patient confidentiality
  • Confirm all appointments by telephone for new patients prior to their appointment.
  • Set up of clinics for the following day as required.
  • Check general neuroscience email address and distribute emails accordingly
  • Refilling stationery supplies when required
  • Ensure clinic rooms are clean for the consultant
  • Assist other administrative staff with telephone calls as required with appropriate handling of patient and doctor enquiries, transfer of calls, arrangement of appointment and emailing of messages to staff if not urgent or paging of registrar as required

SELECTION CRITERIA

ESSENTIAL REGISTRATION, LICENSE OR QUALIFICATION REQUIREMENTS

  • Minimum of Year 12 HSC / VCE or equivalent

OTHER ESSENTIAL REQUIREMENTS

  • Minimum 2 years’ experience as a PSC or equivalent in a health service
  • Ability to work in a fast paced department
  • Demonstrated high level communication skills, written and verbal
  • Ability to work in a multidisciplinary team
  • Ability to work independently
  • Intermediate to Advanced computer skills, including Microsoft Office applications
  • Highly developed customer service skills
  • Ability to problem solve independently

OTHER NON ESSENTIAL REQUIREMENTS

  • Experience in the health industry (desirable)
  • Familiarity with medical terminology (desirable)
  • Knowledge of private health fund billing
