Job Title: Quote & Procurement Support Specialist

Reports To: Strategic Sourcing Manager, Lead
Location: Onsite
Position Summary
The Quote & Procurement Support Specialist plays a critical role in supporting the front-end sourcing and quoting process by coordinating supplier RFQs, collecting cost data, and preparing documentation to enable timely and accurate customer proposals. This position also provides tactical support to Buyers and Supplier Quality, acting as a flexible resource to assist with administrative tasks, supplier communications, and documentation tracking.
This is a cross-functional support role designed to ensure agility and responsiveness within the broader Supply Chain function. The successful candidate will be detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced defense manufacturing environment.
Key Responsibilities
- Issue and track RFQs (Request for Quote) to suppliers and ensure timely responses to support proposal schedules.
- Collect, organize, and verify supplier quotes and cost data for bid packages, ensuring proper alignment to BOMs, drawings, and specifications.
- Maintain accurate quote files and documentation in compliance with internal procedures and customer requirements.
- Coordinate with Strategic Sourcing and Proposal Management teams to populate material cost estimates into pricing models.
- Escalate delayed quotes and proactively follow up with suppliers to meet proposal deadlines.
- Support Buyers with PO entry, confirmations, change orders, and supplier communication during peak periods.
- Assist Supplier Quality with document intake, FAI packet management, SCAR tracking, and supplier performance logs.
- Support supplier onboarding activities – NDA initiation, onboarding packet management, database entry etc.
- Help maintain accurate and up-to-date supplier records, RFQ logs, and sourcing databases.
- Participate in process improvement initiatives related to quoting workflows and supply chain responsiveness.
- Support maintenance of SRM tools – build & maintain supplier relationships.

- Ability to read & understand engineering drawings & technical specifications.

- Proficient in Microsoft Excel, SharePoint, and ERP systems.
- Familiarity with FAR/DFARS flowdown requirements, ITAR, and quoting in government contracts is a plus.
- Effective communicator, capable of interfacing with both internal teams and external suppliers.
- Ability to balance multiple priorities and work independently in a deadline-driven environment.
Education and Experience
- Associate’s degree in Business, Supply Chain, or a related field (Bachelor’s preferred).
- 1–3 years of experience in a quoting, procurement, or sourcing support role, preferably in defense or aerospace
