Job Summary

The City of Bellevue Parks & Community Services Department is hiring two (2) Administrative Assistants to be the welcoming face of two popular community centers, one at North Bellevue Community Center and one at Crossroads Community Center. These centers are vibrant gathering places where people of all ages, cultures, and backgrounds come together to connect, learn, and celebrate. We are looking for friendly, approachable team members who can thrive in a busy environment, work well with many different personalities, and serve the public efficiently and effectively. The ideal candidates will be organized and adaptable, able to handle frequent interruptions, and ready to support everything from daily programs, facility team needs, and facility rentals, all while creating a positive, inclusive experience for every visitor.

North Bellevue Community Center is a lively hub for older adults and community members of all ages, offering programs that promote wellness, lifelong learning, recreation, and social connections. The center has a fitness center, hosts community events and rentals, and provides a welcoming space for residents to gather and build relationships. We are anticipating filling this position by October 30th, 2025.

Crossroads Community Center serves a culturally diverse community with programs for all ages, including teen programs, youth activities and sports, a games room, drop-in programming, and family support services. The center is home to partnerships with local organizations and service providers, creating opportunities for connection, enrichment, and community building. We are anticipating filling this position by December 1, 2025.

Both positions will report directly to their respective site Community Service Supervisors. The positions include administrative support of the supervisor and facility team members, supports programs, events, manages facility rentals, assists with facility standards and reporting, and general administrative support for the Parks & Community Services Department. The schedule for these positions is set by the facility supervisor and will include a minimum of one evening and rotating Saturday shifts to best serve the business needs of the facility. Remote work is not available for these positions, both positions require the employee to be physically on-site.

Essential Duties and Responsibilities

  • Represent the City in a positive manner and provide exceptional customer service to internal and external customers.
  • Serve as the primary contact in the reception office to the community that enters the
  • facility
  • Possess strong work ethic and demonstrate attention to detail.
  • Must be organized with the ability to multi-task, prioritize workload with frequent interruptions, and meet deadlines.
  • Ability to work independently and as part of a team to complete a specific objective.
  • Coordinate all aspects of facility bookings; schedule and conduct facility tours, manage inquiries, staffing, contracts, permits, payments, communicate policies and any other requirements to successfully host events.
  • Assist in managing facility website, updating pages as necessary with pertinent data and completing routine website link checks to assure they are functioning.
  • Author and edit marketing material documents and seasonal brochures and maintain facility activity calendars.
  • Ability to research, collect, interpret, and calculate data from a wide variety of sources to create spreadsheets, financial records and other reporting documents for use in planning, record keeping, and compliance with regulatory requirements.
  • Be the onsite Subject Matter Expert for registration and payment processing. Identification and resolution resource for issues, answering questions, providing guidance, troubleshooting and following up with customers in resolving problems; may coordinate (or act as liaison) between functions/departments as required to facilitate problem resolution.
  • Manage daily cash handling, track revenues & expenditures, submit payments towards contract balances, assist in contract creation and management.
  • Oversee record management and retention, equipment surplus coordination and SharePoint document inventory.
  • Support facility special events and large gatherings.
  • Answer and route incoming calls, collect registration fees, and register patrons using registration software.
  • Perform general office/administrative tasks such as monitoring/ordering standard office supplies; collating and assembling documents; accepting and delivering inter-department correspondence, photocopying/scanning/emailing correspondence and reports; attend meetings and take/distribute minutes; scheduling appointments and maintaining supervisor's calendar; screening calls/visitors; making travel arrangements.

Qualifications

Knowledge, Skills, Abilities and Competencies

  • Friendly, patient, supportive and respectful to all.
  • Experience utilizing all Windows software including Microsoft Outlook, Excel, Word, PowerPoint, Publisher, Teams, Forms and SharePoint.
  • Experience with CivicRec or other registration database software.
  • Handle payment transactions with contractors, event vendors and professional organizations, which will include cash, checks, and credit cards.
  • Assume responsibility for shift reports and accountability of funds.
  • Responsible for scheduling, training, and supporting the facility rental monitors.
  • Establish and maintain effective working relationships with internal and external staff.
  • Complete reports accurately and in a timely manner.
  • Ability to communicate clearly and effectively, both verbally and in writing.
  • Confidence and communication skills necessary to navigate challenging customer interactions and uphold organizational policies in a respectful and solution-oriented manner.
  • Assist with cleaning the office and other areas of the facility as assigned as well as tracking equipment and supplies.
  • Adhere to safety procedure protocol and safety standards.
  • Other duties as assigned.

Education, Experience, and Other Requirements

  • High school diploma or equivalent and four years of progressively responsible related work experience.
  • Or any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.
  • Administrative and customer service experience working for a parks and community services department of a government agency or closely related field is preferred.

  • Work involves walking, talking, hearing, using hands to handle, feel or operate objects, tools, or controls, and reaching with hands and arms.
  • Vision abilities required by this job include close vision and the ability to adjust focus.
  • The employee may be required to push, pull, lift, and/or carry up to 20 pounds.
  • The noise level in the work environment varies depending on programming. It’s usually a moderate noise level.

Paydays - The City of Bellevue pays employees on the 8th and the 23rd of each month (24 pay periods per year).

Please note that the City does not participate in the Social Security Administration (SSA) program, and employees do not earn social security credits. The mandatory DRS retirement pension plan provides the required social security replacement plan. Any social security benefits earned at other places of employment may be reduced because they are subject to the Windfall Elimination Provision or the Government Pension Offset.
