Job Purpose:

This position, under the direction of the Managers of the Defined Benefit Administration and DC Benefits Administration units, with guidance from the Senior Actuary, and with workflow direction from the Unit Leader, this position is responsible for reviewing and entering incoming estimate and benefit requests into the defined benefit (DB) and defined contribution (DC) benefit tracking systems and for contacting clients for information missing from benefit requests received. The position is also responsible for coordinating the mailing and receipt of annual census requests for all defined benefit plans. Additional responsibilities include monitoring the DB unit mailbox and the work order system for work requests to be assigned; compiling data needed for various monthly, annual or special projects; serving as the DB unit’s 1099-R liaison; ordering all necessary supplies; and performing other administrative functions related to the two units. Incumbents are expected to meet client expectations by achieving established time and service requirements plus perform all duties in a manner that promotes quality service. Incumbents are expected to have a thorough understanding of word processing programs, spreadsheet programs, data base systems and all other pension administrative systems. This knowledge is utilized to provide written, oral, and general assistance to external and internal clients and other departments within TruStage.

Job Responsibilities:

  • 35%: Responsible for reviewing and entering estimate and benefit requests into the benefit tracking systems and for contacting clients for information missing from benefit requests received. This requires knowledge of retirement rules and regulations regarding eligibility, vesting, and distribution options and the two units’ distribution procedures and administrative systems. Duties will include reviewing account balance information and monitoring incoming work for timeliness of distribution to all appropriate parties.
  • 25%: Coordinate the annual census request process for all defined benefit plans. Generate and mail the annual census request, monitor the receipt of the annual census, initially follow-up with customers for missing census or missing information, and assign the census to the Defined Benefit Plan Specialist.
  • 15%: Monitor the DB mailbox and the work order tracking system for incoming work requests. Serve as liaison to Client Services and the RISC team for general work requests. Assign the work requests to the appropriate DB or DC specialist.
  • 5%: Provide support to the DB and DC Administration Managers by compiling data needed for monthly, annual, or other special project needs including data needed for service metrics.
  • 5%: Serve as the liaison to the corporate tax area for the annual 1099-R process for DB plans. This will require timely responses to requests to research new addresses for participants for whom a 1099-R has been returned as undeliverable and to subsequently mail 1099-R’s to plan participants.
  • 5%: Gather data needed for Internal Revenue Service, Department of Labor, or other audits as requested by Client Services or customers.
  • 5%: Responsible for maintaining and ordering all supplies and forms utilized by the DB and DC units.
  • 5%: Assist with a variety of duties for MCUE and CU Pathfinder clients. These duties will include file maintenance, distribution packet creation, forfeiture release processing, and distribution form review.

Job Requirements:

  • High School Education.
  • Three years previous administrative support work experience in an MS office work environment to include experience with word processing, spreadsheet, and data base systems.
  • Previous experience in a retirement services department a plus.
  • Demonstration of customer service skills.
  • Demonstration of oral and written communication skills.
  • Demonstration of ability to work both individually and as a team member.
  • Demonstration of organizational skills.
  • Must demonstrate the values and competencies as outlined by TruStage.

Compensation may vary based on the job level, your geographic work location, position incentive plan and exemption status.

Base Salary Range:

$35,892.00 - $62,811.00
