Overview

BerryDunn is seeking an Office Coordinator who will provide support for daily operations for our consulting team at the firm’s Charleston, West Virginia office. This qualified individual will play a crucial role in helping manage daily activities at the Charleston office. Responsibilities for this role include tracking deadlines for select tasks and initiatives; supporting the coordination of meetings in the office; organizing meals for client and BerryDunn meetings; preparing documents for client and BerryDunn team use; and supporting office and West Virginia engagement communications. This individual will be the go-to resource for administrative tasks in the office, providing essential support for the BerryDunn team, and helping to maintain an organized and efficient work environment.

The key to be successful in this dynamic role requires a strong ability to multitask, attention to detail, and excellent communication skills. This role will report to BerryDunn facilities and administrative support leadership; and will work full time (8:00 am to 5 pm Eastern), available for visitors who come to our Charleston office during these hours, Monday through Friday.

You Will

  • Support regular meetings for BerryDunn staff, the West Virginia client, vendors, and federal partners
    • Support scheduling of meetings
    • Print agendas, as requested
    • Coordinate meeting room setup, as requested
  • Perform regular stocking and ordering of office supplies and food (snacks, drinks, orders future luncheons and/or events) for the office
  • Coordinate ongoing daily maintenance and improvements to the office with BerryDunn facilities and administrative leadership, West Virginia BerryDunn leadership, and property management company
  • Maintain document and file storage
    • Maintain Practice Group Teams SharePoint files, as requested
    • Organize and keep documents filed and updated as needed
  • Foster a culture and create an environment that supports connection for employees
  • Perform all receptionist and front desk duties, including but not limited to:
    • Answer phones and transfer calls to internal staff
    • Welcome and assist clients
    • Oversee conference room schedules
    • Maintain reception area, conference rooms, and client area
      • General maintenance that falls outside the scope of the cleaning service, such as ensuring dishwasher is ran and dishes put away, cleaning up for BerryDunn staff after luncheons and events
  • Organize office and cube assignments for BerryDunn employees who travel to and work at the Charleston office
  • Support coordination and planning for office and local events such as team lunches, training days, virtual meetings, and special events (summer outings, holiday parties, etc.). Including, but not limited to:
    • Catering
    • Reserving conference rooms, booking blocks of hotel rooms, setting up Teams/Zoom, preparing presentation slide decks and other materials
  • Ensure the office has an ongoing brand presence both internally and in the Charleston community (open house, meet and greets, philanthropic opportunities, charity events, etc.)
  • Support communications between BerryDunn staff; BerryDunn Principals and consulting leaders
  • Attend BerryDunn business planning meetings, as requested
  • Develop internal group surveys (non-client)
  • Support special projects, as needed

You Have

  • Adaptability to adjust to new situations and unexpected challenges
  • Ability to address issues independently and find solutions without always needing to escalate
  • Proficiency in MS Office (MS Word, MS Excel, MS PowerPoint, etc.) and other technology systems used by BerryDunn staff
  • Time management skills and the ability to prioritize work
  • Ability to build good relationships with colleagues and client, and to be approachable and helpful
  • Excellent written and verbal communication skills
  • Professionalism, strong client service skills and a can-do attitude
  • Working knowledge of office equipment, including personal computers, conference room presentation systems, and printers

Compensation Details

The hourly rate for this role is $24-$27 per hour. This rate range represents BerryDunn’s good faith and reasonable estimate of the possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications more than the minimum requirements for this posting, that applicant is encouraged to apply, and a final rate may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The hourly rate for the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
