At least 2 years in an Executive Assistant role supporting VP to C-Level professionals

We are seeking a highly organized and experienced Executive Assistant to provide dedicated support to three C-Level executives. This role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will focus on calendar management, travel planning, and expense reporting, while also supporting a range of administrative and project-related activities.

Key Responsibilities

  • Manage complex and dynamic calendars for three executives, ensuring seamless scheduling of meetings, events, and conference calls.
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and detailed itineraries.
  • Prepare, submit, and reconcile expense reports using Concur, ensuring accuracy and timely processing.
  • Draft and edit correspondence, agendas, and meeting materials as needed.
  • Plan and execute meeting logistics, including calendar invites, conference lines, catering, and material distribution.
  • Monitor, organize, and maintain team spreadsheets and trackers in Google Sheets and Microsoft Excel.
  • Handle incoming and outgoing mail, packages, and other administrative tasks as required.
  • Maintain confidentiality while managing sensitive information.
  • Provide support on ad hoc projects and initiatives as assigned.
