We are seeking a Contract Manager who will be responsible for implementing and managing the end-to-end process of vendor onboarding, contract intake, and administration within the company’s contract management system. This role ensures that all vendor relationships and contractual obligations are properly documented, tracked, and maintained in compliance with company policies and applicable laws. The ideal candidate will have exceptional organizational skills, attention to detail, and the ability to coordinate with cross-functional teams to support business needs efficiently.

Duties and Responsibilities

Vendor Onboarding

  • Serve as the primary point of contact for onboarding new vendors, ensuring completion of all required documentation, certifications, and compliance checks.
  • Coordinate with internal stakeholders (Procurement, Finance, Compliance, Legal, IT, and business units) to ensure vendors meet company requirements.
  • Verify vendor information, maintain accurate vendor profiles, and track required renewals and updates.

Contract Intake & Processing

  • Use company contract management platform to receive and review incoming contract requests from internal departments.
  • Ensure contract requests include necessary details, approvals, and supporting documentation before processing.
  • Coordinate with internal teams and stakeholders to gather missing information and resolve discrepancies.

Contract Administration

  • Enter contract data accurately into the company’s contract management platform, ensuring proper categorization, metadata tagging, and filing.
  • Track contract lifecycles, including key dates (renewals, expirations, termination notice periods), and notify stakeholders accordingly.
  • Maintain contract templates, clause libraries, and related documentation in collaboration with the Legal team.

Compliance & Process Improvement

  • Ensure all contract and vendor records comply with company policies, applicable regulations, and audit requirements.
  • Identify opportunities to improve contract workflows, approval processes, and system efficiency.
  • Support periodic audits and reporting on contract management activities and vendor compliance.

Requirements

  • Bachelor’s degree in Business Administration, Legal Studies, Supply Chain, or equivalent experience
  • 3+ years of experience in contract administration, vendor management, or a related field.
  • Experience with contract management software/platforms required.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Exceptional attention to detail and accuracy in data entry and documentation.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and contract management tools.
  • Ability to work collaboratively with cross-functional teams in a fast-paced environment.
  • Ability to work overtime to meet critical deadlines
