Job Description

Reporting to the Head of Storage & Delivery, the Billing, Media, and Reserves Specialist is a classified staff position within Access Services. This unit level position is responsible for the supervision and day-to-day operations of billing, media, and reserves services. Working as a key member of Bizzell Access Services, this supervisor position serves as a liaison with the Office of the Bursar and works closely with faculty members across campus. This position provides customer support at a primary service point in the main library and is responsible for the upkeep and maintenance of all media and materials on reserves. The position works with library administration and staff throughout the University Libraries system to assist in the development and implementation of billing and reserve services, policies, and procedures in a manner that ensures customer service excellence. Performance of the job duties requires the use of considerable independence, initiative, and discretions within established guidelines.

Responsibilities include:

  • Under general supervision, performs administrative support-oriented job duties, to include but not limited to resolving routine questions and problems, filing maintenance, scheduling appointments, inventory management, typing, report preparation, and correspondence.
  • Maintains office files that may be of a confidential nature.
  • Receives incoming calls and emails related to library billing and library reserves.
  • Serves as a contact person for other employees or the outside public with relation to library billing and library reserves.
  • Provides information regarding location or availability of materials, resources, and services.
  • Monitors and requests supplies for the access services area.
  • Responsible for typing correspondence related to library billing.
  • Prepares various reports related to usage of library reserve materials.
  • Plans, organizes, and attends meetings related to policy and process development within the library access services area.
  • Performs related duties as assigned to successfully fulfill the function of the position.
  • Responsible for hiring, training, scheduling, and supervising 1-2 student employees for clerical support.

Job Requirements

Required Education and Experience: High School Diploma or GED, AND:

  • 24 months of office, clerical, or administrative experience

Skills:

  • Knowledge of office procedures
  • General office and customer service skills
  • Knowledge of Microsoft Office Suite (Outlook, Excel, and Word)
  • Excellent interpersonal skills
  • Ability to work independently and as a team player
  • Ability to complete tasks in an efficient and timely manner
  • Must be detail oriented for accuracy of data and information
  • Ability to multitask, be organized, and self-motivated
  • Ability to communicate verbally and in writing
  • Demonstrated commitment to excellent customer service
