Position Description

Coordinates a wide range of administrative and business operations tasks spanning budget, purchasing, timekeeping, human resources, travel assistance, and more! This role involves regular interaction with employees, Division leadership, and Executives. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Essential Duties:

  • Implements and interprets administrative policies and procedures.
  • Maintains liaison with all levels of administration and outside organizations to coordinate department business, accomplish directives and facilitate problem resolution.
  • Analyzes incoming correspondence for the Division Director, reports and other materials related to administrative areas; coordinates with appropriate personnel to initiate proper action.
  • Researches and analyzes schedules to coordinate meetings, produce correspondence, and meeting materials.
  • Assists in forecasting short and long-term projections for multiple funding sources.
  • Coordinates the management of IT assets and inventory, records, and open records requests.
  • Coordinates Division purchasing functions.
  • Serves as the Division's safety point of contact.
  • Trains employees in agency administrative policy and procedure.
  • Performs other job responsibilities as assigned.

Minimum Qualifications:

Education:

  • Bachelor's Degree in Accounting or Business Administration related field.
  • Relevant work experience may be substituted for degree on a year per year basis. Substitutions for Minimum Qualifications

Experience:

  • 4 years management, business operations, and administration, and/or staff support functions.
  • Experience can be satisfied by full-time or prorated part-time equivalent.
  • Related graduate-level education may be substituted for experience on a year per year basis.

Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.

Competencies:

Extensive knowledge of:

  • Office management practices and procedures

Considerable knowledge of:

  • Purchasing methods and procedures
  • Budgeting methods and procedures
  • The Texas Public Information Act

Expert skill in:

  • Giving attention to detail and reviewing information to identify any errors and problems; ensuring consistency and clarity of information
  • Analyzing issues, facts, and available information to develop logical solutions; researching inconsistencies of facts or data; drawing correct inferences from information, and making recommendations that support business decisions

Proficient skill in:

  • Establishing plans and setting objectives and goals that support overall business strategy/results; anticipating and adjusting for problems/roadblocks.
  • Administrative support practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping, and records management.
  • Using computers, applicable programs, applications, and systems

Other Attributes:

  • Collaborates and cooperates with others and builds effective working relationships with internal and external members to accomplish organizational goals

Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
  • Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
  • Standing-prolonged periods of time
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading
