Indiana University South Bend is seeking a detail-oriented and customer-service focused Part-Time Procurement and Operations Assistant to join our Budget and Financial Operations team. This position will primarily support campus departments in navigating the BUY.IU procurement system, ensuring compliance with university policies and efficient processing of requisitions and invoices. Additionally, this role will provide support to Parking Services operations and assist with other administrative duties as assigned.

Job Summary

Department-Specific Responsibilities

  • Serves as a primary point of contact for IU South Bend employees seeking assistance with the BUY.IU procurement system.
  • Reviews and verifies the accuracy, completeness, and adherence to university purchasing policies for all submitted requisitions. This includes ensuring proper chart of accounts coding, appropriate vendor selection, and justification for purchases.
  • Assists with the review and verification of invoices against purchase orders and university policies, ensuring timely and accurate payment processing.
  • Provides guidance and supports to campus departments on Indiana University procurement policies and procedures, ensuring compliance and best practices.
  • Troubleshoots and resolves issues related to BUY.IU transactions, collaborating with relevant university departments (e.g., Purchasing, Accounts Payable) as needed.
  • Assists in developing and delivering informal training and informational resources for campus users on effective use of BUY.IU and procurement policies.
  • Assists with various Parking Services operations.
  • Performs other administrative and operational duties as directed by the Director of Budget and Financial Operations to support the overall efficiency of the Administration and Finance division.

Qualifications

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED).

Preferred

  • Associate's degree or higher in business administration, accounting, finance, or a related field.

WORK EXPERIENCE

Required

  • 2 years of experience in an administrative support role, preferably in a financial or purchasing environment.

SKILLS

Required

  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong customer service skills with a patient and helpful demeanor.

Preferred

  • Experience with procurement systems (experience with BUY.IU or Kuali Financial Systems strongly preferred).
  • Knowledge of university policies and procedures, particularly related to purchasing and financial operations.

Working Conditions / Demands

This position primarily operates in a professional office environment. The ability to remain stationary for extended periods, use a computer, and communicate effectively is needed. Occasional moving of up to 20 pounds may be required.
