Job Title: Engineering Administrative Assistant
Job Description
We are seeking a meticulous and skilled Engineering Administrative Assistant to assist with contract data extraction and cross-functional coordination. The role involves reviewing a substantial number of contract files, extracting key data points, and ensuring data accuracy and completeness.
Responsibilities
- Review approximately 2000 contract files to extract key data attributes into the Contract Inventory Tracker Excel file.
- Extract data points such as file location, file name, document number/name, customer legal entity, effective date, contract start date, and contract termination date.
- Identify and document any referenced documents, including appendices, exhibits, and attachments.
- Coordinate with Customer Program Managers to review challenges and questions from the data extraction work.
- Verify the completeness of files and track any missing contracts.
- Determine which customer programs are associated with which contractual documents.
- Deliver a completed Contract Inventory Tracker Excel file with the highest possible accuracy.
- Prepare a project summary detailing data integrity risks, assumptions, and other relevant information.
Essential Skills
- Proficiency in Microsoft Office Suite, especially Excel.
- Strong attention to detail and accuracy.
- Ability to work independently and efficiently.
- Excellent communication skills to convey challenges and propose solutions.
- Experience in administrative support, data entry, and project coordination.
Additional Skills & Qualifications
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- Proven experience in an administrative or document management role.
- Familiarity with contract terminology and document handling best practices.
- Strong organizational and time-management skills.
- Ability to handle sensitive information with discretion.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
