Regular, FLSA-exempt, full-time, 80 hours per two-week pay period

Salary range: $98,136.00- $119,308.32 annually

Regular hours are Monday through Friday; however, flexibility is required, including availability for evening and weekend events as needed.

Overview

The Seattle Public Library is a dynamic urban library system that consists of the Central Library and 26 branch libraries, and is Seattle's center of information and knowledge and one of the most popular and valued services in the city. The position works under the direction of the Assistant Director of Library Public Services. The Event Services Manager develops and administers policies and procedures that guide the use of public meeting rooms and facilities across the library system. This position supervises a team of staff including Events Specialist and AV and Event Technicians, who ensure the smooth delivery of events by providing logistical, technical, and customer service support.

The Manager ensures that all A/V and technology equipment overseen by the department is properly maintained, secured and available to meet the diverse needs of Library staff, user groups and public and private events.

The Events Services Manager plays a crucial liaison role between Library administration, Library staff and external user groups, working collaboratively to ensure events are successful and meet Library standards for safety, security and policy compliance. They troubleshoot and resolve challenges related to people, equipment and facilities, and they recommend improvements to policies and procedures as needed. This role also supports group tours, private and/or commercial photography and filming requests, and adapts services in line with initiatives like expanded meeting room use to branches.

In addition to supervising people and overseeing programs, the Events Services Manager ensures the effective marketing, scheduling, and utilization of Library meeting spaces and tours. They maintain effective working relationships with Library support services such as building maintenance, janitorial, security and IT. Balancing these highly visible responsibilities, this Event Services Manager ensures that department equipment and technology resources remain in good condition, supporting the Library’s goal of creating vibrant and welcoming spaces for the community.

Job Responsibilities

  • Ensure seamless event planning and support for Library divisions and external user groups by managing a team of staff responsible for Library spaces, meeting room scheduling, A/V and technology resources and logistics
  • Serve as a liaison between Library administration, Library staff, and external user groups to ensure events are well-planned, executed safely, and aligned with Library policies and the library’s mission
  • Supervise and support Event Services Team, ensuring high-quality service delivery through coaching, performance management, and fostering a collaborative work environment
  • Provide effective oversight and administration of meeting room use, filming and photography requests and tour services across the library system by developing, implementing and evaluating policies and procedures to ensure equitable access and consistent user experiences.
  • Oversee and maintain A/V and technology equipment to ensure it meets the needs of Library staff, user groups, and public and private events, collaborating with IT and other departments as needed.
  • Troubleshoot and resolve issues related to event logistics, facilities, equipment, or customer service, exercising sound judgment, tact, and diplomacy.
  • Collaborate with internal Library services (e.g., building maintenance, janitorial, security, IT) to support events and ensure facilities remain welcoming, safe, and vibrant for Library users.
  • Collaborate with Marketing and Online Services to develop marketing and promotional materials to ensure meeting room and event services are visible and effectively utilized; maintain accurate records, reports, and correspondence to support operational excellence.

Qualifications

  • Knowledge of event planning and logistics management principles, including meeting room scheduling, A/V and technology support, policy development, and customer service delivery.
  • Knowledge of principles of organizational management, including budgeting and expenditure control, planning and evaluation, staff supervision, and project management.
  • Experience supervising and leading a team, including staff coaching, performance evaluation, scheduling, and fostering a positive, inclusive work environment.
  • Strong written, verbal, and interpersonal communication skills, with the ability to engage with diverse audiences, resolve conflicts, and develop promotional materials for events and services.
  • Proficiency in Microsoft Office skills and technology related to meeting room scheduling, event management, and A/V systems.
  • Ability to troubleshoot, resolve, and refer complex logistical or technical issues with judgment, tact, and professionalism.
  • Commitment to providing exceptional customer service and supporting Library initiatives and values.
